We are seeking a highly organized and proactive Administrative Assistant to support senior-level executives and investment banking professionals. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide high-level administrative support to executives, operating independently with minimal direction
- Manage complex calendars, scheduling meetings and resolving conflicts
- Coordinate domestic and international travel arrangements, including detailed itineraries
- Prepare and submit expense reports accurately and in compliance with company policies
- Manage a high volume of emails, prioritizing and responding in a timely, professional manner
- Handle incoming calls, triage inquiries, and ensure appropriate follow-up
- Partner with administrative team members to ensure seamless coverage and collaboration
- Maintain confidentiality and professionalism in all interactions
Core Must-Haves (Non-Negotiable)
- More than 6 years of experience providing executive-level administrative support
- Executive-level calendar management (high-volume scheduling, conflict resolution)
- Travel coordination (domestic + international, detailed itineraries)
- Expense reporting (accurate, timely, policy-compliant)
- MS Office proficiency (especially Outlook + Word)
- High school diploma or GED equivalent
