Position Summary:
We are looking for a part-time administrative assistant to support both the Director of Operations & Programs and the Executive Director with administrative tasks.

- Technical Proficiency: Skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook), video conferencing tools (Zoom), and data entry.
- Attention to Detail & Confidentiality: Ensure accuracy in reports, emails, and data entry while managing sensitive company information with discretion.
- Adaptability & Flexibility: Ability to switch gears quickly and manage diverse, shifting tasks in a demanding environment
- Resourcefulness & Problem-Solving: Using initiative to find solutions to administrative challenges.
- Team Collaboration: Foster a productive, positive work environment by supporting team projects and facilitating information flow.
Responsibilities:
- Executive Support: Proactively manage complex calendars, schedule meetings, and arrange travel.
- Scheduling & Coordination: Manage calendars, book appointments, and coordinate meetings/events.
- Document Management: Prepare, edit, and format documents, reports, and memos for stakeholders.
- Board and Commission Meetings: Schedule, prepare agendas, manage catering; transcribe meeting minutes accurately
- Project Coordination: Assist with coordination and follow-up on action items.
- Event Coordination: Assist with the planning, execution, and breakdown of events.
- Grant Coordination: Coordinate grant writing and submission process.
- Provide administrative support for other duties as assigned.
Experience Required:
- Minimum 2-5 years’ administrative assistant experience required.
- Experience working with non-profit boards and committees is highly preferred.
- Must pass a pre-employment screening which may include criminal records check, public court records check, and driving records check.
Education
- Associate’s degree preferred but not required. Equivalent professional experience (professional experience may be substituted for the educational requirement on a year- for-year basis.)
Work Schedule
Part-time position with the potential to become Full-time.
20-25 hours per week
Monday – Thursday, with an occasional Friday
