Position Summary
We are seeking a reliable, detail-oriented team member to support both front office operations and insurance-related workflows. This role is patient-facing at times (check-in/check-out) but primarily focused on insurance eligibility verification, prior authorizations, deductible management, and medical records support. The ideal candidate is organized, proactive, and comfortable juggling multiple responsibilities in a fast-paced medical practice.
Key Responsibilities
Front Office Support
- Greet and check in patients in a professional and welcoming manner
- Check patients out, collect copays/deductibles, and confirm follow-up appointments
- Verify and update patient demographics and insurance information
- Answer phones, route calls appropriately, and assist with general inquiries
Insurance Eligibility & Authorizations
- Verify insurance eligibility, benefits, deductibles, and coverage prior to appointments
- Obtain and track prior authorizations and referrals as required
- Communicate insurance requirements clearly to patients and clinical staff
- Maintain accurate documentation of authorizations and benefit verifications
- Identify coverage issues and escalate as needed
Medical Records
- Process medical records requests (including routine, attorney, WC, auto, and subpoena requests as assigned)
- Ensure records are released in compliance with HIPAA and practice policies
- Upload, scan, and organize medical documentation in the EHR
- Coordinate with internal teams to ensure records are complete and timely
Administrative & Other Duties
- Support day-to-day administrative tasks as assigned
- Assist with workflow improvements and operational support
- Maintain professionalism, confidentiality, and compliance at all times
- Perform other duties as assigned based on practice needs
Qualifications
- Prior experience in a medical office or healthcare setting
- Strong understanding of insurance verification, deductibles, and prior authorizations
- Familiarity with EHR systems and medical terminology
- Excellent attention to detail and organizational skills
- Strong communication skills with patients, staff, and insurance carriers
- Ability to multitask and adapt to changing priorities
