Position Summary:

The Customer Service Representative (CSR) serves as a first point of contact for customers—handling inquiries, preparing accurate quotes, managing orders, and ensuring exceptional service throughout the customer journey.

This role requires a balance of customer-facing communication and detail-oriented administrative work, supporting both external clients and internal teams. The ideal candidate brings strong organizational skills, excellent communication, and the ability to learn and apply technical information in a manufacturing environment.


Essential Duties and Responsibilities:

1. Customer Communication & Support

  • Serve as the first point of contact for customer inquiries via phone, email, and other communication channels.
  • Provide accurate information regarding products, pricing, lead times, and order status.
  • Resolve customer concerns promptly and professionally, escalating issues when necessary.
  • Build strong relationships through proactive communication and exceptional service.
  • Understand and advocate for customer needs within the organization to ensure satisfaction.
  • Collaborate with the sales team to identify growth opportunities with existing customers.
  • Maintain a courteous and customer-focused approach in all interactions.

2. Order Coordination

  • Review and process customer purchase orders with precision and efficiency.
  • Verify order details including pricing, product specifications, and shipping instructions.
  • Coordinate with engineering and production to ensure timely shipping of customer orders.
  • Monitor open orders and proactively communicate updates or delays to customers.
  • Update and maintain pricing and lead time information for existing and new customers.
  • Support customers when expedited orders or special scheduling is needed.

3. Quoting Support

  • Prepare and provide quotes for standard products and services. Update pricing (requotes) for existing customers.
  • Ensure all quote documents are complete, consistent, and error-free.

4. Data and System Administration

  • Maintain accurate records of quotes, orders and customer interactions in internal databases.
  • Communicate with all departments to meet customer requirements.
  • Confirm and communicate shipping dates.
  • Assist in creating or improving tools to streamline quoting and order workflows.
  • Provide reporting and documentation to support continuous improvement and customer satisfaction.


Qualifications:

  • Associates degree or 3+ years of experience in customer service, quoting, order processing.
  • Strong communication skills – written, verbal, and interpersonal – with a customer-first mindset.
  • High attention to detail and strong organizational abilities.
  • Experience in a manufacturing or production environment is preferred.
  • Proficiency in MS Office, Outlook and Excel skills (formulas, data validation) required.
  • Accounting software, QuickBooks.
  • Ability to learn and apply technical concepts, mechanical aptitude a plus.

Job Type: Full-time

Pay: Starting at $50,000/year

Schedule: Day shift, Monday – Friday (with the potential for half days Fridays)

Work Location: Onsite at Clearwater Composites on the outskirts of Duluth, MN.
