JOB SUMMARY
At Lakeside Oral Surgery, the Financial Coordinator is a key team member responsible for ensuring patients understand and feel confident about their treatment plans and financial obligations. The Financial Coordinator creates and presents accurate treatment plans, verifies insurance benefits, and supports the patient journey with professionalism and empathy. PRIMARY RESPONSIBILITIES

​​​Financial Coordination and Patient Support

  • Create and present detailed and accurate treatment plans and cost estimates to patients, ensuring clarity and understanding.
  • Verify all insurance benefits and information days in advance of exams and surgeries to provide precise estimates.
  • Discuss financial matters with confidence, presenting treatment costs as a smart investment in the patient’s health and well-being.
  • Address patient questions and concerns about financial matters, ensuring they feel supported and informed.
  • Manage difficult financial conversations professionally, resolving issues without escalating unnecessarily.
  • Take payments, post payments accurately to patient accounts, and maintain the cash drawer current and without error.

Patient Experience and Care Management

  • Warmly greet patients upon arrival and learn their names to create a personal connection.
  • If the Patient Care Coordinator is unavailable, provide guided tours of the office for new patients, ensuring a positive first impression.
  • Support the Patient Care Coordinator in maintaining awareness of patient flow and ensuring efficient scheduling.
  • Help minimize patient wait times by ensuring all required financial and insurance information is complete before their arrival.

Scheduling and Coordination

  • Assist the Patient Care Coordinator in managing the daily schedule, ensuring all surgeries and exams are scheduled efficiently.
  • Monitor patient arrivals and flow throughout the day, providing seamless support to the team.
  • Proactively confirm appointments and fill gaps in the schedule when cancellations occur.

Administrative Duties

  • Answer phones fluently using trained protocols, focusing on keeping calls short, to the point, and aimed at scheduling patients for exams.
  • Accurately input and maintain all financial and insurance information in patient charts.
  • Ensure meticulous attention to detail in record keeping to minimize billing or insurance issues downstream.
  • Regularly audit insurance entries and treatment plans for accuracy and compliance.

Office Cleanliness

  • Maintain constant and hyper-awareness of the cleanliness and order of the office in all aspects.
  • Follow routine cleaning schedules and ensure all team members participate in keeping the office in the best shape.
  • Clean all areas, including breakrooms, dishes, fridge, theater rooms, doctor's office, and bathroom, as needed.
  • Identify and recommend repairs or maintenance to maintain a professional and welcoming environment.

Marketing and Referring Office Engagement

  • Actively participate in marketing efforts, including fostering relationships with referring offices.
  • Arrange and deliver lunches or meetings with referring office staff to strengthen connections and express appreciation.
  • Seek opportunities to promote the practice and enhance patient and referring office experiences.

Continuous Improvement

  • Regularly evaluate financial workflows to improve accuracy and efficiency.
  • Stay up to date with insurance policies, laws, and regulations, and recognize when changes should be suggested to keep the office compliant and maximize reimbursement.
  • Maintain hyper-awareness of the office environment, ensuring professionalism and trustworthiness in all interactions.
  • Innovate and adapt financial processes to better meet patient needs and expectations.


JOB SKILLS & QUALIFICATIONS

  • Current BLS certification (self-maintained).
  • Strong communication, emotional intelligence, and interpersonal skills.
  • Proficiency in discussing financial matters, including treatment costs, insurance benefits, and payment options.
  • Proficient understanding of surgical procedures, postoperative expectations, potential complications, and recovery processes to confidently address patient questions.
  • Excellent computer, math, and organizational skills, with a high level of attention to detail.
  • Ability to handle difficult conversations with professionalism and resolve patient concerns effectively.


PHYSICAL DEMANDS & WORK ENVIRONMENT

  • Ability to sit or stand for extended periods.
  • Manual dexterity for administrative tasks and occasional clinical assistance.
  • Ability to remain composed under pressure and thrive in a fast-paced, occasionally high-stress environment while maintaining efficiency and professionalism.
