Job DescriptionPosition Summary
We are seeking an experienced and motivated HR Onboarding Specialist to join our Human Resources team. This role is responsible for ensuring a positive and seamless onboarding experience for new employees by coordinating pre-employment requirements, preparing documentation, and partnering with hiring managers and internal teams to set employees up for success from day one. The ideal candidate will have strong organizational skills, excellent attention to detail, and prior experience managing onboarding processes in a fast-paced environment.
Key Responsibilities

  • Manage the full onboarding process for new hires, ensuring all required steps are completed accurately and in a timely manner.
  • Coordinate and monitor pre-employment screenings, including drug tests, background checks, and reference verifications.
  • Prepare, distribute, and track new hire paperwork such as offer letters, contracts, confidentiality agreements, and other compliance forms.
  • Conduct new hire orientations, ensuring employees understand company policies, benefits, and workplace expectations.
  • Partner with IT, payroll, and department managers to ensure new employees have the necessary systems access, equipment, and resources.
  • Maintain accurate and up-to-date employee files, records, and documentation in compliance with HR policies and employment laws.
  • Serve as the first point of contact for new hires, providing support and answering questions related to onboarding, benefits, and company procedures.
  • Collaborate with HR team members to recommend improvements to the onboarding process for efficiency and enhanced employee experience.
  • Assist with general HR administrative duties as needed.

Qualifications

  • 2–3 years of experience in HR, onboarding, or employee support functions.
  • Knowledge of pre-employment requirements (drug screens, background checks, I-9 compliance).
  • Strong organizational skills and ability to manage multiple priorities simultaneously.
  • Excellent communication and interpersonal skills, with the ability to provide a welcoming new hire experience.
  • Proficiency in Microsoft Office Suite; experience with HRIS and ATS platforms preferred.
  • Ability to handle sensitive and confidential information with professionalism and discretion.

Preferred Skills

  • Experience supporting HR in a corporate or manufacturing environment.
  • Familiarity with employment laws and HR compliance best practices.
