Job DescriptionPosition Overview
The Billing Specialist is responsible for managing project-based billing in a fast-paced environment, including AIA progress billings, time-and-material invoicing, and accounts receivable activities. This role works closely with project managers and finance teams to ensure billing accuracy, compliance with contract terms, and timely collections.
Key Responsibilities
- Prepare and submit project-based invoices, including:
- AIA progress billings
- Time-and-material invoices
- Lump sum and contract-based billings
- Change order billing
- Review job cost details (labor, materials, subcontractors, equipment) to ensure accurate billing aligned with contract terms and schedules of values
- Maintain and update schedules of values (SOV) and track project billing status, including retainage and open balances
- Coordinate with project managers to confirm percent complete, billing quantities, and approved scope changes prior to invoicing
- Generate and distribute invoices, ensuring all required backup documentation (lien waivers, timesheets, subcontractor invoices, etc.) is complete
- Manage full-cycle accounts receivable:
- Cash applications and payment posting
- AR aging review and reporting
- Collection follow-up and customer communication
- Reconciliation of customer accounts
- Investigate and resolve billing discrepancies, short payments, and contract variances
- Assist with month-end close activities, including billing reconciliations and reporting
- Maintain accurate documentation and ensure compliance with customer contracts and internal controls
Qualifications
Required:
- 2+ years of experience in project or construction billing
- Hands-on experience with AIA billing and schedules of values
- Strong accounts receivable experience, including collections and cash applications
- Knowledge of:
- Progress billing
- Retainage tracking
- Change orders
- Contract-based invoicing
- Proficiency in Microsoft Excel
- Strong attention to detail and ability to manage multiple projects simultaneously

Pay Details: $60,000.00 to $73,000.00 per year
