Robert Half is supporting the recruiting efforts of a company in the energy industry to find a Office Manger. This is a full time, permanent position in Boulder. It is 100% in office, and is paying $70-75k. Additional information and job requirements are below. - Manage the Company’s head office in Boulder, including dealing with suppliers and the landlord, as well as the following:
- Make sure office is presentable and people are happy;
- Purchase office supplies, snacks, drinks, office equipment, etc.;
- Organize breakfast in the office Tuesday and Thursdays;
- Keep conference rooms in good standing (air purifier, fan, TV, blinds);
- Prepare and send entertainment email on Mondays to all office members;
- Organize office repairs and updates;
- Maintain office and office equipment in good working condition, such as managing cleaning crew, snow removal, etc.;
- Perform general office administration, such as organizing and scheduling Board and Company staff meetings, managing use of shared areas within the office, and managing mail acceptance and distribution.
- Oversee and be first line of contact for Information Technology systems within the Company, drawing on external consultants as required. Administrator for MS Office, antivirus system, cybersecurity, website, various software.
- Provide administrative support to the Company’s Executive Management Team, such as arranging for the Team to attend conferences and meetings, supporting the Team in preparation of presentation materials, supporting the Team with travel arrangements and logistics, and preparing and managing expense reports for the Team.
- Organize events for employees, and various guests’ visits, ensuring employees’ happiness and the Company’s good image. Purchase and prepare Jetti swag. Conduct company surveys as required.
- Oversee and maintain office security (cameras, door locks, alarm).
- Assist with website updates and content maintenance.
- Monitor multiple inboxes for the Company and respond to inbound inquiries where needed.
- Liaise with departmental heads to assist with running Company projects.
- Project a positive image of the organization to employees, customers, industry, and community.
- Support Director of HR with onboarding processes in the US, employee training programs, desks setup, welcome email, etc.
- Support Director of HR with onboarding process for Canada and Chile.
- Perform other related duties as assigned.
- Bachelors degree preferred
- Strong organization and communication skills
- Advanced MS Outlook, Word, PPT skills
- Lives within 25 miles of Boulder REQUIRED
