Job Tittle: Outreach / Volunteer Coordinator
Schedule: 20-32 hours per week
Pay Range: DOE
Job Summary:
Under the supervision of the Director of Operations and Chief Operating Officer, the Outreach/Volunteer Coordinator is responsible for overseeing volunteer programs, fundraising efforts and marketing initiatives. This role manages social media accounts, the online store, donor cultivation, sponsorship acquisition, and community engagement. The coordinator will also develop and implement a strategic marketing plan to increase the affiliate's resources and support public relations efforts through education and outreach. Additional responsibilities include event planning, fundraising assistance and other administrative tasks as assigned.
Duties and Responsibilities:
Volunteer Recruitment and Training
- Recruit, Screen, Place, and provide orientation for volunteers.
- Assess volunteer needs for upcoming events and construction projects.
- Establish and maintain relationships with volunteer programs at universities, clubs, churches and other organizations.
- Accurately track and manage volunteer hours.
- Develop, Maintain, and update the volunteer manual, policies, and procedures.
- Maintain an updated list of board and committee members.
- Prepare and submit monthly reports on volunteers' programs.
- Ensure volunteer compliance with policies and procedures.
- Implement a volunteer recognition program.
- Research, apply for and follow up on local community grants.
Marketing & Communications:
- Develop and implement a comprehensive marketing plan aligned with the long-term goals of the affiliate.
- Identify and pursue corporate and foundation funding opportunities.
- Develop and execute major donor solicitation and gift strategies.
- Manage our website and ensure compliance with branding guidelines.
- Oversee Social Media accounts, promoting volunteer opportunities, events, and fundraising campaigns.
- Create and distribute marketing materials, including brochures, newsletters, ads, special projects and annual reports.
- Maintain proper grammar and branding in all communications while supporting our mission and values.
- Establish relationships with community programs for marketing and outreach purposes.
- Present our company in a professional and engaging manner at all times.
Community Outreach & Awareness:
- Schedule and deliver presentations to service clubs, community groups. And potential funding organizations both onsite and offsite.
- Ensure timely acknowledgement of donations by issuing receipts and thank-you letters per policy.
- Collaborate with volunteers and donors to enhance community engagement.
Fundraising & Special Events:
- Assist with ongoing fundraising activities and initiatives.
- Analyze current fundraising programs and develop new strategies.
- Plan, schedule, and execute special events in coordination with key volunteers, staff, and community groups.
- Implement and manage a corporate sponsorship program.
- Ensure event efficiency and cost-effectiveness through in-kind donations and volunteer involvement.
Administrative & Other Responsibilities:
- Prepare and submit accurate development and outreach reports to the Director of Operations.
- Become proficient in and assist with administering Salesforce (CRM).
- Complete other assignments as directed by the Director of Operations, Program Manager, Or Store Operations Manager.
Required Skills and Qualifications:
- Excellent written and verbal communication skills, including articulate public speaking ability.
- Ability to draft professional documents, letters, brochures, and reports with minimal supervision.
- Positive attitude, strong interpersonal skills, and professional demeanor.
- Strong multitasking, time management, and organizational skills.
- Proven ability to network, manage, and motivate staff and volunteers.
- High level of discretion in handling confidential information and maintaining detailed records.
- Self-motivated, reliable, and enthusiastic.
- Dedication to maintain a safe and secure work environment.
- Proficiency in Microsoft Office Suite.
- Ability to develop and achieve daily, weekly, monthly, and annual goals.
- Must Pass a Wahington State Patrol Background Check.
- Valid Drivers License with a clean driving record.
- Physical ability to sit, walk, or stand for extended periods, as well as bend stoop, grasp and lift as required.
