Duties

  • Manage office operations, including being the first point of contact for customers, providing support to service technicians, and maintaining customer relationships with our clients.
  • Operate phone efficiently to notate calls and take messages accurately
  • Maintain calendar management and scheduling for appointments, meetings, and events using Google Workspace and Housecall Pro
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize QuickBooks for basic bookkeeping tasks and financial record keeping
  • Support office management tasks such as reviewing emails, scheduling service appointments, scanning receipts, filing receipts, supply ordering, and record keeping
  • Provide customer support via phone, email, or in person, ensuring a positive experience for clients and visitors
  • Assist with clerical duties including typing, calling, texting, emailing, scanning and filing, inputting appointments and client information.
  • Coordinate with team members to streamline administrative processes and improve overall office efficiency
  • Handle personal assistant responsibilities as needed to support executive staff

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Google Workspace, and data entry tools
  • Experience with QuickBooks or similar bookkeeping software is preferred but not required.
  • Excellent phone etiquette
  • Bilingual abilities are a plus to serve diverse client needs
  • Strong computer literacy and familiarity with office management software
  • Previous clerical or administrative experience in a professional setting is required
  • Ability to multitask efficiently while maintaining accuracy in a fast-paced environment
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Experience in property management and or contractor trade office experience is advantageous but not mandatory
  • Personal assistant or calendar management experience is beneficial
