Job Title: Program Coordinator (Event Operations)
Location-Type: Onsite/Hybrid in San Francisco

Duration: Contract
Compensation Range: $85/hr
Job Description:
Support and manage end-to-end operations for an in-person technical onboarding program, ensuring seamless execution and an exceptional participant experience.
Day-to-Day Responsibilities:
- Coordinate onsite cohort events including room setup, AV checks, catering, and materials prep
- Manage event timelines, breakout sessions, and participant engagement activities
- Maintain cohort roster, track attendance, and assign participants to sessions
- Own all participant communications including emails, calendar invites, and Slack coordination
- Distribute surveys, compile feedback, and track program performance metrics (e.g., NPS)
- Schedule and coordinate speakers, ensuring timely delivery of materials
- Maintain and update program documentation including run-of-show and playbooks
- Manage program calendar, resolve scheduling conflicts, and maintain project tracking tools
- Troubleshoot issues in real-time and ensure smooth event execution
Requirements:
- Must-Haves:
- 2–5 years of experience in program coordination, event operations, L&D operations, or similar
- Experience managing recurring in-person events with 20 participants
- Ability to work onsite for events and additional in-office days as needed
- Strong ability to operate independently with a remote manager
- Exceptional organizational skills and attention to detail
- Experience with project management tools such as Asana or similar
- Proven ability to manage participant communications end-to-end
- Strong stakeholder management skills, including working with senior contributors
- Nice-to-Haves:
- Background in tech, SaaS, or startup environments
- Experience supporting technical audiences or onboarding programs
- Event marketing experience
- Familiarity with NPS or feedback-driven program improvement
- Experience building or maintaining operational playbooks or SOPs
- Experience with Slack-based communication or community management
