Position Description
Job Title: Assistant to the Principal & Advancement Director
FLSA: Non-Exempt
Job Status: Full Time/Part Time
Reporting Functions: Reports to Principal
Job Function: To provide administrative support to the school Principal. This may include, but is not limited to, general clerical duties, receptionist duties and project-based work in the absence of the school secretary. Also directs fundraising, marketing and advancement programs for St. Joseph the Worker School, this includes but is not limited to, the annual appeal, annual auction and elementary school bonding programs as well as managing alumni relations.
Assistant to the Principal Duties & Responsibilities:
- Setup and coordinate all meetings and conferences for the school Principal. Maintain the Principal's calendar.
- Place textbook orders for the school. Maintain records of all orders.
- Be a liaison for the school website. This includes changes, updates and revisions.
- In the absence of the school secretary, answer in-coming telephone calls and transfer calls to the appropriate staff members. Greet and assist all parents and visitors to the school.
- In the absence of the school secretary, receive, sign for and distribute all in-coming UPS/FedEx/Airborn packages for the school.
- Create and modify documents using Microsoft Office.
- Maintain a filing system for the school that will include both hard copy and electronic documents.
- Support the school staff with any project-based work that has been assigned.
- Any other duties as assigned by the Principal.
Assistant to the Advancement Director Duties & Responsibilities:
- Create new marketing materials that can be used in conjunction with the school website; generate all school promotional materials, including school website materials; keep website current for Advancement/Alumni sections.
- Utilize the school website to create an on-line giving program
- Promote social media engagement (i.e. Facebook, Twitter, etc.) around the school for both alumni and current parents. Monitor for messages containing negative or inappropriate language.
- Create and maintain a donor database.
- Create and maintain an alumni database to be utilized for annual giving efforts.
- Provide public relations and keep the media informed of school news including student accomplishments, special programs, alumni functions and other events.
- Create and oversee a Planned Giving program; oversee Grant Writing.
- Oversee the scholarship program for the school.
- Create and oversee a tracking system for prospective students, conduct follow-ups.
- Conduct tours and Open houses at the school for prospective students and parents.
- Act as a liaison to the Esthetic Committee.
- Create a program that improves teacher communication concerning the marketing of the school.
- Maintain contact with the Diocese of Allentown Office of Stewardship and Development.
- Keep abreast of the latest in advancement techniques and utilize the same in growing fundraising opportunities.

Educational Requirements:
- Associate degree in public relations, communications or a related field.
Other Requirements
- Extensive knowledge of development/fundraising concepts and appropriate solicitation techniques.
- Proficiency in word processing, database management, as well as other business and office equipment.
- Ability to interact with diplomacy and tact amid donors and diverse groups.
- The ability to work independently and manage/prioritize multiple projects simultaneously.
- Ability to communicate effectively both orally and in writing
- Must exhibit a high degree of integrity, loyalty, dependability, and have a strong work ethic. Position continually requires demonstrated poise, tact and diplomacy.
- Must possess a high level of interpersonal skills to handle sensitive and confidential situations.
- Must be able to work independently and proficiently.

Physical Demands: While performing the duties of this job, the employee is frequently required to stand, walk, sit, stoop, bend, push, pull, talk and hear. Specific vision abilities required by this job include close vision, and the ability to adjust focus. The employee is continuously interacting with the public, staff and students. The employee frequently must meet multiple demands from several people.
Working Conditions: Elementary school environment; School working hours are 7:45 a.m. to 3:15 p.m. May be required to work in excess of normal work hours to attend meetings, events or due to non-routine or emergency situations that may arise.
