Job Description
Job Description
The Income Tax Center is a growing tax, accounting, and advisory firm built on servant leadership, excellence, and trust. We serve individuals and small businesses with clarity, care, and confidence—especially in complex tax situations. Our administrative team plays a critical role in creating a calm, professional, and world-class client experience.
This is not a generic admin role. This position is ideal for someone who thrives in structure, values accuracy, and enjoys supporting professionals in a fast-paced, deadline-driven tax environment.
The Role
As an Administrative Coordinator, you will be the operational backbone of our tax practice—supporting accountants and advisors, managing client workflows, and ensuring nothing slips through the cracks. You help turn great technical work into a seamless client experience.
What We’re Looking For:
Required Traits (Non-Negotiable):
- Extremely organized and detail-oriented
- Calm, professional, and dependable—especially under deadlines
- Clear communicator (written and verbal)
- High integrity and respect for confidential information
- Coachable, proactive, and solutions-oriented
- Strong comfort with technology, spreadsheets, and checklists
Compensation & Benefits
- Competitive hourly or salaried compensation (based on experience)
- Paid time off and paid holidays
- Growth opportunities within a stable, values-driven firm
- Supportive team culture rooted in respect and professionalism
Compensation:
$50,000 - $65,000
Responsibilities:
As an Administrative Professional, you will:
- Greet clients warmly and maintain a welcoming, professional office environment.
- Manage incoming phone calls, emails, and client inquiries with accuracy and care.
- Schedule client appointments, manage calendars, and confirm meeting details for preparers and advisors.
- Assist with document processing — scanning, uploading, and organizing tax and accounting files securely in our systems.
- Support electronic signature and filing workflows using DocuSign and IRS e-file systems.
- Maintain accurate client records and ensure confidentiality of sensitive information.
- Prepare client correspondence, engagement letters, and billing statements as directed.
- Track deliverables (returns, signatures, payments) and provide updates to preparers or other operations team.
- Support supply management, mail handling, and light office maintenance coordination.
- Assist with team events, communications, and onboarding of seasonal staff.
- Collaborate with bookkeepers, preparers, and management to ensure client satisfaction and timely service.
Qualifications:
Required Qualifications
- 5+ years of professional administrative or customer service experience (preferably in a financial, accounting, or office environment).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfortable learning new software.
- Strong attention to detail, organization, and follow-through.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize in a fast-paced, deadline-driven environment.
- Professional, courteous, and discreet when handling confidential information.
- Legally authorized to work in the United States.
Preferred Qualifications
- Experience in a CPA, accounting, or financial services office is highly desirable.
- Familiarity with ProSeries, Canopy, QuickBooks, or DocuSign preferred.
- Previous experience coordinating client scheduling or document flow in a professional office.
- Basic understanding of billing, invoicing, or office bookkeeping is a plus.
- Associate’s or Bachelor’s degree in business administration or related field preferred.
