Position Summary:

The HR Associate plays an essential part of the People & Culture department at LACI by supporting the entire employee life cycle including recruiting, onboarding, benefits, employee relations, culture, DEI initiatives, performance management, professional development and offboarding. This role also collaborates closely with other departments in Operations  such as the Accounting and Compliance teams, and represents the Human Resources function to all levels of the organization.

What You’ll Do:

  • Recruiting/Onboarding: Support/lead recruiting process for new staff roles, including: phone-screening, coordinating with hiring managers, scheduling, approval forms, and communication with candidates and external recruiters. Update applicant tracking system and reporting/tracking sheets. Post open roles to recruitment systems. Create and update onboarding checklists.  Send onboarding materials to new hires and create 90-check-in cycles.
  • Benefits: Verify and approve new employee benefit enrollments. Update benefit invoice spreadsheet and confirm rates and employee info is correct. Assist with open enrollment including analyzing rates, communicating with brokers, and ensuring all employees enroll. Confirm and monitor new employee commuter benefits such as Metro Tap Card and Bike Share. Keep PTO spreadsheet up to date and set up alerts for employees/managers on their accrued time. 
  • Training/Professional Development: Update training tracker as needed and ensure required training such as  Harassment training is completed by employees at appropriate intervals. Funnel professional development requests and monitor licenses for LACI’s professional development platform. Support professional development planning and maintain the annual professional development calendar. Work with People Team on trainings and present to staff
  • Performance Management: Support Annual Reviews, Goal-setting, and quarterly check-ins using the HRIS performance management system. Conduct internal performance management audits to ensure consistency and compliance. Work with supervisors on performance evaluations. 
  • HR Compliance, Policies and Procedures: Maintain employment policies and practices which comply with federal and state regulations. Work closely with the Compliance and Accounting teams to ensure policies are organized and accessible to all staff. Create and update SOPs on all HR functions and maintain guides annually. Maintain and update LACI’s internal intranet, including collaborating with each department to ensure all material is up to date. Stay abreast of current and changing Federal, State and city laws to ensure compliance. 
  • Interns/Volunteers/Apprentices: Manage all aspects of volunteer, internship, and apprenticeship requests and tracking.  Assist with implementation of a formal internship program working with universities, external partners, and team leads on intern needs, recruitment, onboarding, etc. to ensure a valuable experience for interns
  • Events: Assist with org-wide events, collaborating with Events Team and Campus Team.
  • Culture/Employee Relations: Work closely with the People & Culture team on Culture initiatives including surveys, internal meetings, monthly cultural observances/holidays, etc. Support DEI initiatives and training for all employees. Ensure employee relations concerns are brought to the People & Culture team in a timely manner.  Maintain confidentiality with all requests.
  • Payroll Support: Ensure timesheets are approved and correct for bi-weekly payroll. Update timesheet summary and confirm PTO and overtime. Update recurring timesheet schedules and confirm cost centers  with Accounting. Pull timesheet reports. Print and send timesheets to be signed by employees and department heads quarterly working with Accounting to ensure cost centers are correct. Assist with 401k enrollment, spreadsheets and contribution reports from Payroll.

Requirements:

Basically, we want to know you can get the job done. This means you have:

  • Bachelor’s degree preferred or relevant experience in Human Resources as a generalist
  • Minimum of 4-6  years relevant experience working in an office environment preferably in an Operations function (Legal, HR, Payroll)
  • Strong proficiency in MS Office Suite (including Excel),  Google Suite, Asana, and Dropbox
  • Excellent communication, organization and time management skills
  • Ability to maintain discretion in handling sensitive information, confidentiality is a must

Preferred Qualifications

  • Flexible, detail oriented self-starter with the ability to work effectively in a fast-paced environment both independently, with limited supervision, and within a team
  • Experience with an HRIS and payroll system as an Admin
  • Experience working with a nonprofit organization preferred

Work Requirements

  • Must work onsite from Downtown LA office.
  • Ability to lift or move heavy objects when assisting with events or Campus Management(<30 lbs)

Position Details:

This is a full-time position, starting immediately. LACI operates out of the La Kretz Innovation Campus, in the bustling Downtown LA Arts District. Since we are rapidly growing, you will be getting in on the ground floor at LACI, with the opportunity to evolve with us and shape your future here. Some travel may be required.

Salary Range: Manager Range $65-75k commensurate with experience, education, skills, etc and total compensation package including health benefits, 401k match, professional development, commuter benefits and more.
