Your Impact

The primary function of the Receptionist is to be the first point of contact for our company, as well as offer administrative support across the organization. The Receptionist will ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

FLSA Status:

Hourly - Non-Exempt - Part Time (20 Hours/Week)

Rate:

$16 - $24/hr

Reporting Relationship:

Reports to the Director of Administration/Human Resources

Essential Duties & Responsibilities:

The duties, responsibilities and attributes of the Receptionist typically include, but are not limited to:

Technical Skills

  • Answer, screen, and forward incoming phones calls
    • Provide basic and accurate information in-person and via phone/email
    • Receive, sort, and distribute incoming mail/deliveries; prepare outgoing shipments as needed
    • Direct visitors to the appropriate person and office
  • Maintain a clean and functional office
  • Provides general office support
  • Miscellaneous clerical filing. Includes vendor payable filing
  • Electronically files documents on Box
  • Assists with coordination of meetings, calendaring, setting up room, etc.
  • Order lunch for inner-office company meetings
    • Order supplies to ensure all office, kitchen, and janitorial supplies are stocked
    • Monitor main office parking
    • Assists with planning Company Events (summer picnic, leadership retreat, holiday party)
    • Back up to Office Administrator and Project Administrator when needed

Management Skills

  • Maintain employee and project directories
  • Ensure incoming phones calls are directed to the appropriate person, department, or project
  • Assist the Estimating department on bid day
  • Manage the conference room(s)/calendar of rooms

Qualifications

High school degree or GED required or one year administrative experience preferred; additional certification in Office Management is a plus.

Broad understanding of clerical and administration processes, including office equipment such as computers, phones, photocopiers, and fax machines.

Understands and effectively uses company software programs and systems:

1. Proficiency in basic computer skills (MS Word, Excel)

2. Proficiency in Outlook and can manage calendars, address books, tasks, and email

  1. Ability to navigate and manage files and folders in Box.com
  2. MS Teams

Effective oral and written communication skills

Well-developed time management and organization skills

Physical Demands:

Performance of the required duties will require physical ability to navigate office and other spaces.

This is largely a secondary role; however, filing and supply distribution is required. This would require ability to lift files, open filing cabinets bend or stand as necessary, and carry/drop off supplies to desired employees.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, & filing cabinets. Occasionally this position will visit active construction projects where company-provided PPE is required.
