Legal Secretary

Law firm has a core focus on first-party property insurance claims to help insurance companies keep their promises to homeowners and business owners. The Legal Secretary plays a vital role in supporting attorneys and contributing to the efficient operation of the firm. This position involves providing administrative assistance, managing correspondence, and ensuring the smooth flow of information within the legal team.

Responsibilities:

  • Draft and edit legal documents, correspondence, and pleadings under the guidance of attorneys.
  • Organize and maintain case files, ensuring accuracy and completeness of documents.
  • Schedule appointments, court hearings, and meetings for attorneys.
  • Monitor and communicate upcoming deadlines and court dates.
  • Serve as a point of contact for clients, facilitating communication between clients and attorneys.
  • Manage and respond to client inquiries in a professional and timely manner.
  • Prepare and file legal documents with courts, ensuring compliance with court rules and procedures.
  • Maintain knowledge of electronic filing systems and procedures.
  • Assist in administrative tasks such as photocopying, scanning, and faxing legal documents.
  • Coordinate travel arrangements and accommodations for attorneys.
  • Screen and direct phone calls, emails, and other communications to the appropriate parties.
  • Maintain open lines of communication between attorneys, staff, and clients.
  • Handle confidential information with discretion and maintain the highest standards of confidentiality.

Qualifications:

  • High school diploma or equivalent; additional legal secretary certification is a plus.
  • Proven experience as a legal secretary or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Familiarity with legal terminology and procedures.
  • Detail-oriented with a high level of accuracy.
  • Punctuality and reliability in attendance.
  • Ability to adapt to changing priorities in a fast-paced legal environment.
  • Willingness to collaborate with legal and administrative team members.
