The Accounts Payable Clerk is responsible for processing and managing all aspects of accounts payable transactions, ensuring accuracy and timeliness in financial record-keeping. This role involves interacting with vendors and internal departments to facilitate smooth payment processes.
Key Responsibilities:
- Invoice Processing:
- Receive and review invoices for accuracy, completeness, and proper approval.
- Code invoices to appropriate accounts and departments.
- Enter invoice data into the accounting system.
- Payment Processing:
- Prepare and process payment batches, including checks, electronic transfers, and other payment methods.
- Verify and reconcile payment amounts with supporting documentation.
- Vendor Relations:
- Communicate with vendors regarding payment inquiries and discrepancies.
- Establish and maintain positive relationships with vendors.
- Record Keeping:
- Maintain accurate and organized records of all accounts payable transactions.
- File and archive invoices, receipts, and other related documents.
- Month-End Reconciliation:
- Assist in month-end closing activities, including reconciling accounts payable transactions.
- Prepare reports summarizing accounts payable activities.
- Compliance:
- Ensure compliance with company policies and procedures.
- Stay informed about changes in accounting regulations that may impact accounts payable processes.
- Support:
- Assist with ad-hoc financial projects as needed.
- Collaborate with other departments for cross-functional tasks.
Qualifications:
- High school diploma or equivalent; additional education or certification in accounting is a plus.
- Proven experience as an Accounts Payable Clerk in a multi company/store and multi department environment.
- Proficiency in accounting software and Microsoft Office applications.
- Attention to detail and accuracy in data entry.
- Strong organizational and multitasking skills.
