About You: We are looking for a Project Accountant who will be responsible for all financial, billing, and cost-tracking activities associated with a cost-plus fire protection project. This role ensures accurate cost capture, timely billing, contract compliance, and transparent financial reporting for both internal stakeholders and the client. The Project Accountant works closely with the Steering Committee, Program Director, Project Manager, Procurement, and Client Representatives to maintain full integrity of project financials across materials, labor, subcontractors, equipment, and change orders.

Compensation/Benefits: Competitive salary ranging from $110,000 - $130,000 plus possible per diem/relocation allowance. Key Responsibilities:

  • Cost Management & Tracking
    • Maintain detailed cost records for all labor, materials, equipment, rentals, and subcontractor expenses in accordance with cost-plus contract requirements.
    • Monitor daily and weekly cost accumulation against project budgets, allowances, and forecasts.
    • Track direct and indirect costs, validating charge/phasing codes and proper allocation.
    • Reconcile cost reports with procurement logs, time sheets, and job-costing systems.
  • Billing & Invoicing
    • Prepare monthly cost-plus billing packages including labor summaries, material invoices, subcontractor billings, equipment logs, and markup calculations.
    • Ensure compliance with contractual billing structures, markups, reimbursables, and fee percentages.
    • Collaborate with project and field teams to verify accuracy of billable hours and materials.
    • Support client audits by providing documentation and clarification.
  • Financial Reporting
    • Produce weekly and monthly cost reports, cash-flow projections, and cost-to-complete forecasts.
    • Provide variance analysis comparing actual cost to budget, identifying risk areas.
    • Support PM and leadership with financial insight for schedule impacts, change orders, and claims.
  • Contract Compliance
    • Maintain knowledge of the cost-plus contract terms including fee structure, rates, reimbursable categories, and documentation requirements.
    • Review subcontractor invoices for adherence to contractual requirements before approval.
    • Ensure retention, allowances, and contingencies are applied correctly.
  • Document Control & Audit Readiness
    • Maintain organized digital records of invoices, receipts, timesheets, purchase orders, and subcontractor billings.
    • Support internal and client audits with timely data retrieval.
    • Ensure daily field reports, time logs, and material purchase documents align with billed costs.
  • Coordination & Communication
    • Work closely with Project Manager to align cost reporting with project schedule and milestones.
    • Coordinate with procurement on PO status, receiving records, and vendor compliance.
    • Communicate cost impacts of design changes, scope additions, and site conditions to PM and leadership.
    • Provide detailed financial backup for progress meetings and client status reviews.


Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or equivalent experience.
  • 3+ years of project accounting experience in construction, industrial projects, or fire protection systems.
  • Strong knowledge of cost-plus contract structures and construction billing.
  • Proficiency in construction financial software (e.g. Viewpoint)
  • Advanced skills in Excel, including pivot tables and cost-tracking tools.
  • Strong attention to detail, accuracy, and documentation discipline.
  • Excellent communication skills and ability to work cross-functionally with project teams.
