Job DescriptionLHH Recruitment Solutions is seeking a Senior Office & Administrative Coordinator (On-Site)

We are seeking a reliable and detail-driven Senior Office & Administrative Coordinator to support daily operations within our fast-paced engineering office. This role is well-suited for someone who thrives in a technical, team-oriented environment and enjoys being the central hub for office activity. You will play a key role in maintaining an efficient workplace and ensuring visitors and employees have a seamless experience.

Key Responsibilities

  • Serve as the main point of contact for visiting partners, vendors, and candidates, ensuring a professional and welcoming experience
  • Prepare conference rooms for technical discussions, interviews, and engineering team meetings
  • Manage office logistics, including all incoming and outgoing mail, shipments, and supply deliveries
  • High Level support for domestic and international travel coordination
  • Expense reporting and documentation
  • Coordinate lunches, team workshops, and onsite training sessions, including setup and cleanup
  • Help organize employee engagement activities, engineering team events, and onsite programs
  • Administer visitor and temporary badges in accordance with security protocols
  • Provide backup support to facilities related to office supply inventory, kitchen maintenance, and overall workspace upkeep
  • Assist with coordination of event tickets, group outings, and associated hospitality needs

Qualifications

  • High School Diploma
  • Bachelor's Degree preferred with 3+years' experience or 5+ years as SR Administrative Assistant
  • Strong customer-service orientation with the ability to support teams in a technical, project-driven environment
  • Ability to communicate effectively with cross-functional engineering teams and a range of professional personalities
  • Professional, approachable
  • Ability to respond quickly to shifting priorities and meet time-sensitive deadlines
  • Proficiency with Microsoft Office
  • Onsite role: Monday to Friday
