Position Summary:

The Payroll & Inventory Clerk plays a key role in supporting BHSN’s Accounting Department, with responsibilities spanning payroll processing, accounts payable, purchasing, inventory management, and fleet tracking. This role requires a high level of attention to detail, confidentiality, and the ability to work collaboratively across departments to ensure operational accuracy and efficiency.

Key Responsibilities:

Payroll Support

  • Assist with payroll processing, including data entry, verification, and file maintenance.
  • Review employee timesheets and resolve discrepancies in coordination with staff.
  • Enter payroll data into HRIS and payroll systems; cross-reference with schedules and timekeeping records.
  • Support accurate and timely payment processing.
  • Respond to employee payroll inquiries and assist with resolving payroll errors.
  • Perform reconciliations for payroll-related accounts and employee deductions.
  • Maintain strict confidentiality and security of payroll information.

Inventory and Purchasing

  • Maintain accurate inventory records for all incoming and outgoing supplies and equipment.
  • Conduct regular inventory audits and reconcile discrepancies.
  • Support purchasing processes, including logging items, verifying deliveries, and updating inventory systems.
  • Assist with organizational audits involving inventory control and compliance.
  • Identify and resolve issues related to inventory tracking and reporting.

Fleet and General Support

  • Track and schedule agency fleet maintenance, inspections, and vehicle registrations.
  • Provide responsive and professional customer service to internal departments.
  • Participate in department meetings, training, and ongoing education through BHSN University.
  • Perform other related duties as assigned within the scope of the position.

Required Qualifications:

  • High School Diploma or GED required; Associate’s or Bachelor’s Degree in Accounting, Business, or related field preferred.
  • Proficiency in Microsoft Excel and Word.
  • Strong communication and interpersonal skills.
  • Exceptional attention to detail and organizational abilities.
  • Ability to work both independently and as part of a team.
  • Prior experience in payroll, inventory, or accounts payable is a plus.

Physical Requirements (with or without reasonable accommodation)

  • Sitting: Ability to remain in a seated position for extended periods to perform computer-based tasks.
  • Computer Use: Ability to operate a computer, keyboard, and mouse to enter data and manage inventory systems.
  • Repetitive Motion: Frequent repetitive motion involving hands and wrists while performing data entry and inventory tasks.
  • Visual Acuity: Ability to read inventory labels, numbers, and documents accurately.
  • Mobility: Ability to move about within office and storage spaces, including walking and standing for periods of time during inventory activities.
  • Postural Movements: Ability to bend, reach, kneel, or crouch as needed to access inventory items at various levels.
  • Material Handling: Ability to push, pull, or move items such as office equipment and furniture during inventory processes.
  • Environmental Conditions: Work may be performed in office or storage environments that may be dusty or contain limited ventilation.
