Base Salary: $70,000 annually (up to $100,000 with bonus)

About the Role
As our Operations Manager, you will support the leadership team, coordinate client-service workflows, and help ensure our firm delivers a consistently exceptional client experience. You will be deeply involved in scheduling, communications, process coordination, client support, and operational organization.
This role is perfect for someone who enjoys creating order, anticipating needs, and making sure nothing falls through the cracks.
What You’ll Do
Executive & Team Support

Manage executive calendars, priorities, meetings, and preparation

Ensure meeting materials and logistics are prepared in advance

Track commitments and follow-ups so nothing is missed

Support executive communications with clarity and professionalism
Client & Sponsor Service Support

Support a smooth, professional onboarding experience for new clients

Help coordinate service delivery and communications for our retirement-plan sponsor relationships

Maintain a proactive, attentive, white-glove client experience — ensuring details are handled, expectations are clear, and follow-through is consistent
Operations & Workflow Management

Manage tasks, notes, and workflows in our CRM system

Help create and maintain process documentation and best practices

Support task routing, prioritization, and execution across the team

Identify opportunities to streamline workflows and improve efficiency
Culture & Team Impact

Support positive communication and collaboration

Maintain professionalism, confidentiality, and reliability

Qualifications

Experience as an Executive Assistant, Operations Coordinator, Office Manager, or similar role in a professional-services environment

Strong organizational, project-coordination, and time-management skills

Excellent written and verbal communication abilities

High attention to detail and accuracy

Ability to manage multiple priorities professionally and calmly

Comfort working with CRM and workflow tools (experience in financial services is a plus, but not required)

Strong professional judgment, confidentiality, and integrity
This role does not require managing direct reports, but you must be comfortable leading processes.
Compensation

Base Salary: $70,000 annually

Additional performance-based compensation ($30,000 annually) opportunities available and will be discussed during the interview process
