FULL DESCRIPTION: As the Talent Acquisition Coordinator, you will play a key role in delivering a smooth experience for both candidates and new hires. Reporting to the Senior Manager of Talent Acquisition, you'll be responsible for scheduling interviews, completing reference checks, owning the onboarding process from offer acceptance through Day 1, and facilitating New Hire Orientation. You'll also coordinate training and travel logistics and ensure accurate documentation across systems.
The selected candidate will be responsible for:
- Own the onboarding process from offer acceptance through Day 1, partnering with recruiters, hiring managers, and cross-functional teams to ensure a seamless and engaging new hire experience.
- Schedule candidate interviews across departments, including booking conference rooms, coordinating with interviewers, and ensuring timely communication throughout.
- Greet and support candidates during onsite interviews, creating a welcoming experience and serving as the primary point of contact throughout the day.
- Facilitate pre-employment steps including reference checks, background screenings, and assessment coordination.
- Lead New Hire Orientation sessions and ensure all new employees complete required first-day and first-week compliance training.
- Collect and verify I-9 documentation within the required timeframe and ensure timely completion of all onboarding paperwork.
- Maintain accurate and up-to-date employee files and recruitment records across internal systems and trackers.
- Prepare onboarding schedules in collaboration with hiring managers and provide calendar invites and training logistics to new hire, including any travel arrangements that may be required.
- Keep new hires informed and supported before and after their start date, creating a strong first impression and setting the tone for long-term engagement.
- Support recruitment efforts for entry-level or temporary roles by reviewing resumes, coordinating communication, and assisting with initial candidate outreach.
- Prioritize tasks effectively in a fast-paced environment, juggling multiple requests while maintaining a high level of accuracy and professionalism.
- Provide general administrative support to the Talent Acquisition team and assist with other HR-related tasks as needed.
- Perform other duties as assigned.

- Associate's Degree in Human Resources, Business Administration, or a related field preferred; equivalent work experience will be considered.
- 2+ years of experience in coordination, scheduling, or administrative support role.
- Experience coordinating and/or facilitating employee onboarding is required.
- Full cycle recruiting experience is a plus but not required.
- Complete required training per the training plan for this position as maintained in the document control system.
- Complete training requirements for TRN-10007 Insider Trading Policy, TRN-10008 Global Anti-Bribery and Anti-Corruption Policy, and TRN-10009 Code of Business Conduct and Ethics within 30 days of the hiring date and annually thereafter.
- Proficiency in Microsoft Excel and Word at a moderate to advanced level.
- Moderate skills in Microsoft Outlook, including calendar coordination and Scheduling Assistant.
- Experience with applicant tracking systems (ATS) or HRIS platforms is preferred.
- Prior experience with Smartsheet is a plus.
Salary Range: $30-$40/hr
