They’re seeking a Payroll Specialist for a 3-month, on-site contract to manage bi-weekly payroll for ~400 California employees, ensuring accuracy, compliance, and smooth system operations. THE POSITION
Under the direction of the Controller and Payroll Supervisor, the Payroll Specialist will oversee and prepare the organization’s timekeeping payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations. Will keep systems updated and train employees to use systems properly. Will identify and implement process improvements. Duties include:
- Implements, maintains, and reviews timekeeping and payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Oversees time and attendance and payroll daily activities, provide direction and feedback, monitor and re-evaluate workload distribution, and adjust workload as necessary.
- Works across the organization to educate and train staff on meeting compliance standards as well as developing and utilizing monitoring procedures.
- Ensures accurate and timely entering and processing of payroll updates including new hires, terminations, data changes, garnishments, etc.
- Ensures complies with federal, state, and local legal payroll-related requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
- Updates system records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, pay ranges, etc.
- Responsible for bi-weekly, quarter, fiscal, and calendar year-end payroll operations, along with external transmission and reporting.
- Responsible for auditing bank reconciliations, i.e. payroll account, bank statements to GL, and payroll stale-dated checks
- Identify process improvement initiatives and define standards for new processes
- Directs the production and issuance of paychecks or electronic transfers to bank accounts as needed. Performs back-up duties for payroll processing.
- Coordinates between timekeeping and payroll systems and works with managers and staff for timekeeping training, approvals and submission.
- Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and other related liabilities.
- Other duties as assigned.
REQUIREMENTS
- Over 5 years of related experience required, with 2 years of full-cycle bi-weekly payroll experience
- Experience processing payroll for a company with over 250 employees in multiple California locations
- Knowledge of UKG or other payroll software highly desirable.
- Non-profit industry experience is a plus
- Must be analytical, proactive, and able to take notes and pick things up quickly.
- Must be able to pass a drug and background check
