What the Role Is About

This role is the hub of our daily operations. As the Inside Production Scheduler / Admin Assistant, you’ll help keep our jobs organized, our crews scheduled, and our office running smoothly. You’ll work closely with the Production Manager and the Director of Business Operations to make sure people, materials, and timelines are all lined up so projects stay on track.

Northwest Builders is in the middle of an exciting transition — moving from a “get it done” approach to a more polished, high-standard operation. This role is key in supporting that shift by keeping things consistent, professional, and client-focused.

Main Responsibilities

  • Scheduling & Coordination:
    • Work hand-in-hand with the Production Manager to manage daily and weekly schedules.
    • With the Production Manager’s oversight, schedule all in-house tradespeople, runners, and the Production Manager’s own calendar.
    • Track project timelines and adjust schedules as needed.
    • Communicate schedule updates clearly to field staff and management.
  • Permitting Applications & Management:
    • Prepare and submit permit applications to local jurisdictions.
    • Track status of permits and ensure approvals are received on time.
    • Communicate permit requirements and timelines to the Production Manager, field crews, and clients as needed.
    • Maintain accurate records of all permit-related documentation.
  • Administrative Support:
    • Handle incoming calls, emails, and office communication.
    • Assist with document prep, filing, and maintaining company records.
    • Support invoicing, purchase orders, and vendor communication.
  • Project Support:
    • Capture and share project details with the right people.
    • Track project milestones and provide reminders to keep work on schedule.
    • Assist with material orders and delivery coordination.
  • Operations Support:
    • Work closely with the Director of Business Operations to maintain consistency in systems and protocols.
    • Help the company adopt a more structured, professional approach to client service and project management.
    • Provide backup support on safety documentation and compliance tracking.

What We’re Looking For

  • Strong organizational skills and attention to detail.
  • Comfortable working in a fast-paced environment where priorities can shift.
  • Good communication skills — able to keep both office staff and field crews in the loop.
  • Basic computer proficiency (email, scheduling software, spreadsheets, etc.).
  • A proactive, “see what needs to be done and do it” mindset.
  • Previous construction, permitting, or scheduling experience is a plus, but not required — the right attitude and willingness to learn is most important.
