Job Description

We are seeking an experienced Office Manager to support our administrative and Human Resources operations within an aviation MRO environment. This position plays a key role in payroll processing, HR administration, training coordination, compliance support, and overall office management. The ideal candidate is highly organized, proactive, and able to manage multiple priorities in a fast-paced, regulated setting.

Responsibilities

  • Process bi-weekly payroll accurately through ADP
  • Maintain payroll, timekeeping, employee records, and confidential HR files
  • Support recruitment, onboarding, and offboarding processes
  • Administer employee benefits and respond to HR-related inquiries
  • Manage records and company information in an organized and compliant manner
  • Maintain HR files, training records, and compliance documentation
  • Manage the Training Program, including certifications and recurrent training tracking
  • Administer the Drug & Alcohol Program in compliance with FAA requirements
  • Support HR policy implementation and employee relations initiatives
  • Plan, maintain, and coordinate office facilities and administrative workspaces
  • Provide administrative assistance to the management team as needed
  • Encourage and improve cross-department internal communication
  • Oversee daily office administrative operations
  • Purchase, replenish, and manage office supplies; coordinate vendors
  • Perform general office tasks, including mail distribution and basic custodial coordination
  • Organize monthly employee birthday celebrations and support annual company events
  • Perform other administrative and office-related duties as assigned

Qualifications

  • 3–5 years of experience in office management, administrative services, or human resources
  • Hands-on experience processing payroll through ADP (required).
  • Knowledge of HR practices, payroll regulations, and employment laws.
  • Experience in aviation, manufacturing, or ISO-certified environments preferred
  • Strong ability to prioritize, multi-task, and meet deadlines
  • Excellent organizational skills with high attention to detail
  • Proven ability to manage confidential information with discretion
  • Strong leadership qualities and ability to work across departments
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
