Executive Assistant
Location: Mechanicsville, VA - In Office
Compensation: $50-$60,000/yr, including salary and bonuses

What You Will Get to Do
Provide executive support to the CEO, Sales and Operations Managers ensuring seamless day-to-day operations
Key Responsibilities
1. Executive Support
○ Prepare detailed metrics based documents for meetings with company Leadership, Sales and Marketing.
○ Act as the primary point of contact between the Leadership Team and internal/external stakeholders.
○ Prepare meeting agendas, take detailed minutes, and follow up on action items.
○ Overflow of customer service calls when necessary
2. Travel Coordination
○ Coordinate Hotel, Airline and Bus contracts including monitoring deposit dates, utilization dates and final payment.
○ Assist in managing logistics for student travel programs, ensuring alignment with company objectives.
3. Office Administration
○ Oversee administrative tasks such as expense reporting, invoice processing, and supply ordering.
○ Maintain organized records and filing systems, both digital and physical.
○ Support the planning and execution of company events, meetings, and workshops.
4. Project Management
○ Assist in tracking key projects, deadlines, and deliverables.
○ Collaborate with different departments to ensure timely completion of initiatives.
○ Conduct research and prepare reports or presentations as needed.
5. Confidentiality and Professionalism
○ Handle sensitive information with utmost confidentiality and professionalism.
○ Represent Leadership in a positive and professional manner at all times.
Skills/Qualifications
● Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
● Exceptional organizational and time management skills.
● Proficiency in Google/Microsoft Suites
● Strong written and verbal communication skills.
● Ability to multitask, prioritize, and adapt in a fast-paced environment.
● Experience in the travel industry or with student programs is a plus.

● Above Industry Standard Compensation
● Time Off and Vacation- Paid time off starting with 15 days annually (prorated hire year)
● Flexible Work Schedule in the Off-Season – June 20 – July 20 and November 20 – December 31
