Today, Unisan distributes personal protective equipment (PPE), sanitary and safety equipment and supplies to hospitality, food, medical, education, manufacturing and many other industries. We have our own well-equipped delivery trucks, drivers and inventory warehouse in Bell, CA, as well as a network of partners throughout North America for warehousing and deliveries to our national clients.

Position Overview:
The Executive Assistant will play a key role in ensuring the smooth operation of the firm by providing high-level support to our executives. This role is ideal for a diligent and discreet professional who excels at managing paperwork and e-files, staying organized, and driving follow-through on key tasks and projects. You will be responsible for everything from note-taking and report preparation to coordinating cross-team communications, managing ad hoc projects, and taking as much off the executives’ plate as possible to free them up for mission-critical or client-facing priorities.
We are seeking someone with a strong focus on organization, the ability to create polished presentations, and a collaborative mindset open to feedback. The ideal candidate is adaptable, flexible, and forensic in follow-up, thrives in a fast-paced environment, anticipates needs, and ensures seamless execution of both routine and strategic initiatives.
Key Responsibilities:
- Support executives with project management, calendar management, meeting scheduling, and travel arrangements.
- Attend all critical meetings and conference calls.
- Take clear and concise notes during meetings; distribute summaries and action items to appropriate stakeholders.
- Ensure consistent and timely follow-up on action items with internal teams and executives.
- Proactively reach out and schedule appointments with customers and prospects to drive business growth.
- Assist in the preparation of investor reports, internal memos, marketing presentations, pitch decks, graphs, and other professional materials for both internal and external use.
- Track deadlines and deliverables across various teams to ensure timely execution, holding everyone including executives accountable.
- Handle confidential materials with discretion and professionalism.
- Support day-to-day administrative tasks including managing expenses, coordinating office needs, ordering supplies, and handling communication, answering phone calls, and assisting the customer care team.
- Take ownership of special projects and operational tasks as they arise.
- Maintain and organize electronic files, contact lists and confidential materials securely within a protected shared drive environment.
- Assist with corporate philanthropy initiatives and charitable partnerships.
- Apply IT savvy to navigate digital tools and resolve basic tech issues.
Qualifications:
- 3+ years of experience as an Executive Assistant to a CEO or C-level executive.
- Highly organized and detail-oriented, with excellent time management skills.
- Effective communication skills – both written and verbal.
- Ability to take initiative, anticipate needs, and work independently.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace.
- Experience in preparing reports and graphs, professional presentations, and graphic design.
- Discretion and professionalism in handling confidential information.
- Collaborating with investment firms and partners affiliated with the CEO.
