We are currently looking for a self-motivated, dependable, and career-focused candidate to join our team to achieve our company's mission of providing our clients with outstanding detailed cleaning and exceptional customer service.

Office Manager/ Bookkeeper – Office manager oversee the work of other administrative and clerical staff while also providing such duties themselves. Office manager helps to organize and manage payroll and personnel databases, create reports, and offer other clerical duties. This role also requires a significant amount of communication and coordination with other staff and departments, including senior-level officials.

The responsibilities of this position include:

· Processing accounts receivable/payable through QuickBooks Online

· Running payroll for all employees

· Paying taxes and maintaining organized records of said payments

· Preliminary editing of technical documents

· Onboarding new employees

· Tracking expenses

· Answering phone calls and emails from new and existing clients

· Maintaining general office tasks (filing, scanning, laminating, etc.)

· Being the point of contact for various people and entities that do work with Whatcom Janitorial

· Performing any number of smaller tasks that come up along the way

· Working with other departments to ensure the success of the company

Education, Experience, and Licensing Requirements:

· Valid Driver’s License

· Vehicle Insurance

· Associates degree in accounting or business administration. Equivalent accounting/business experience will also be considered

· Minimum 2 years of experience in an administrative role

· Must be proficient in Microsoft office (excel, word, mail, etc.)

Physical Demands

· Must be able to remain in a stationary position 80% of the time.

· Occasionally move about inside the office to access file cabinets, office machinery, etc.

· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

· The person in this position frequently communicates with customers who have inquiries and complaints transactions. Must be able to exchange accurate information in these situations.

· The worker is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned such as reports.


Work Environment

We pride ourselves on our detailed cleaning, teamwork, and great leadership at Whatcom Janitorial. Our management works very hard every day to provide the support and training our team members need to properly complete their duties in the field.

A typical day on the job consists of picking up/restocking cleaning supplies at the beginning of your shift, driving to your assigned accounts, and performing all tasks and duties (cleaning & restocking) assigned to each account while managing your time and routine. Some cleaners work in teams and others on their own, it is very important that our team members can work together, form a routine and problem-solve to provide the best possible service to our clients.

The ideal candidate will be able to perform all the duties required and be an outstanding representative of Whatcom Janitorial.

General Duties and Responsibilities:
• Cleaning residential, offices, or commercial common areas (some inside and outside year-round).
• Perform and inspection of own work after each account for accuracy.
• Carry out heavy cleansing tasks and special projects and some machine floor scrubbing (training provided) as assigned.
• Notify management of occurring deficiencies on accounts.
• Restocking of consumable products (toilet paper, paper towels, soap etc.)
• Stock and maintain supply rooms (delivering consumable supplies and organizing client stock rooms each time)
• Follow all health and safety regulations
• Ability & drive to clean not only the basics but the details as well.
• All cleaning supplies provided by our company as well as company vans for certain shifts.

Physical Demands
• Must be able to push and pull heavy objects and equipment
• Must be able to lift objects up to 50 pounds (usually supplies to accounts or cleaning equipment/tools/chemicals)
• Position requires reaching, bending, stooping and handling various equipment with hands
• Must be able to walk and/or stand for up to four hours at a time minimum
• Must be able to perform all required duties of the position
• Must be able to use hand tools and facilities equipment
• Ability to handle heavy equipment and machinery used in cleaning

Requirements
A clean driving record for some shifts requires the use of company vans.
Comfortable driving your own vehicle at times to and from customers
Driver License and car insurance
communication skills and the ability to work as a team
Organizational skills a must
Self-motivation and the ability to identify and complete needed tasks without direct supervision
Reliability is a must!
Must attend the monthly safety meetings.

Available to be on call at least 1 Sunday out of each month to rotate on call
