The Opportunity

The Administrative Assistant provides critical backend support to the Youth Services afterschool program, ensuring compliance, data entry, communications, and financial processes are executed accurately and on time. This part-time role will keep the program running smoothly behind the scenes.

Responsibilities

Compliance & Reporting

  • Input weekly student attendance and coder entries via Doclink and BTQ
  • Responsible for school permits, school meal applications for PS 15 & PS 19 EVCS as well as meals for holiday camps at PS 15
  • Prepare all reports to include but not limited to Board, CHHSO, marketing, development, principal
  • Complete all data entry for QIFolio
  • Manage documentation repositories and filing systems on the server
  • Maintain incident report logs and fire drill records
  • Support site coordinators with capturing and sharing success stories, photographs, and highlights within the Youth Services team
  • Prepare monthly event flyers/newsletters and all parent and academy communications
  • Maintain rosters and enrollment records

Enrollment, Payments & Financial Tracking

  • Handle invoicing, reimbursements, vendor payments and supply orders

Internal Communication & Coordination

  • Send timely updates on program operations, needs, and challenges to the Director of Youth Services each week
  • Coordinate with Greenwich House central teams for communication needs, social media, and website updates

What You’ll Bring

Education & Experience

  • High School Diploma, High School Equivalency or College Degree
  • 2+ years of experience of work-related skill or experience is required
  • Prior experience with DYCD Online and/or Youth Services
  • Must have passion for Greenwich House mission and demonstrated interest in the field of education and youth development

Skills & Competencies

  • Strong time-management skills and attention-to-detail; reliable and able to accomplish tasks on a timely basis
  • Working knowledge of online databases, Excel, Word, and other programs
  • Must pass pre-employment background investigation, including but not limited to employment history and criminal background check

Compensation Range

The expected hourly rate range for this position is between $22.00 – $25.00. This range reflects the anticipated compensation at the time of this posting and may be adjusted based on experience, education, and organizational needs.
