Babiones Heating & AC is a trusted, licensed, and insured HVAC company based in Williston, FL, serving Levy, Marion, and Alachua counties since 2002. We specialize in maintenance, repairs, installations, and air quality solutions for both residential and commercial clients.
Were looking for a highly skilled, experienced, and self-sufficient Office Managersomeone who can step in on Day 1 and own the role with confidence. This is NOT an entry-level position. What Were Looking For:
Proven HVAC Office Management Experience Youve done this before and can do it againno training wheels here.
Deep knowledge of QuickBooks Online You can handle invoicing, payroll, and financial reports without breaking a sweat.
ServiceTitan Expertise Youre comfortable with dispatching, reporting, and workflow management in ServiceTitan.
Strong Microsoft Suite Skills Outlook, Excel, Wordyou use them daily to keep things running smoothly.
Process-Driven & Detail-Oriented You see inefficiencies and fix them before they become problems.
Excellent Communication & Leadership Youre the person who keeps everything on track, supports the team, and ensures customers have a seamless experience.
Ability to Juggle Multiple Priorities This isnt a sit back and wait role. You need to be proactive, adaptable, and ready to handle anything that comes your way.
High Integrity & Professionalism Youre handling sensitive financial and customer information, and we need someone we can trust.
Key Responsibilities:
Office Operations: You own the day-to-day workflow and make sure the team has everything they need to succeed.
Inventory & Vendor Management: Keep supplies stocked and coordinate with vendors as needed.
Customer Relations: Ensure top-tier customer communication, handle escalations, and support the service team with scheduling needs.
Team Support: Assist with hiring, onboarding, and managing office staff.
Financial Oversight: Handle QuickBooks Online tasks, including payroll, invoicing, job costing, and financial reporting.
Scheduling & Dispatch Coordination: Work closely with the service team to optimize job flow and scheduling (ServiceTitan proficiency required).
Compliance & Documentation: Keep records accurate and ensure we meet all industry and company standards.
Problem-Solving & Process Improvement: Identify gaps in operations and implement solutions proactively.
Foster a High-Performance Culture: Keep the team motivated, engaged, and working efficiently.
