Position: Human Resources Coordinator

Report to: HR Manager

Job Description Overview

The Human Resources (HR) Coordinator will play a vital role in supporting Kwest Group’s mission and values, with a strong emphasis on employee relations, HR compliance, and cultural alignment. This position requires fluency in both English and Spanish to effectively support a diverse workforce across multiple regions. Based in our Charlotte office, the HR Coordinator will work closely with the HR Manager to learn and support the full employee experience at Kwest, assisting with policy interpretation, special compliance projects, and day-to-day operations.

While the role provides backup coverage for recruiting and onboarding during peak periods or absences, its primary focus is on developing expertise in employee relations, HR policy application, and proactive compliance efforts to support a high-performing and safe work environment.

Responsibilities

  • Serve as a key point of contact for employee relations matters, providing guidance and support to team members and managers.
  • Assist managers and supervisors in the interpretation and application of HR policies and procedures.
  • Monitor and research labor law changes to ensure compliance in all states where Kwest Group operates and maintains licensure.
  • Collaborate with the HR Manager on projects to maintain and improve HR compliance and companywide consistency.
  • Assist in updating HR documents, forms, and handbooks to reflect changes in law or internal policy.
  • Participate in investigations, documentation, and resolution of employee relations issues.
  • Maintain employee files and records in compliance with legal requirements and internal standards.
  • Serve as a culture ambassador by learning and supporting the Kwest values and mission through all interactions.
  • Provide backup support for recruiting and onboarding processes during overflow periods or when primary team members are out, including job postings, reviewing applicants, and coordinating new hire paperwork.
  • Represent Kwest at college job fairs, recruiting sessions, and outreach events, with a focus on establishing our presence in the Carolinas by developing relationships with local universities, trade programs, and high schools.
  • Support training initiatives and assist with performance management coordination in collaboration with HR leadership.
  • Manage daily office operations including mail distribution, inventory management, vendor coordination, and general administrative tasks.
  • Handle shipping and receiving needs and maintain organized records of incoming and outgoing materials.
  • Oversee and follow through on facility maintenance requests, ensuring completion and accountability across teams.
  • Support document management, scheduling, and filing systems to maintain efficient and responsive office operations.
  • All other duties as assigned.

Qualifications

  • Bachelor's degree in human resources, business administration or related field and/or equivalent work experience.
  • Fluency in English and Spanish (written and verbal) is required.
  • Strong organizational, interpersonal, and communication skills.
  • Proficient in Microsoft Office Suite and able to quickly learn new systems.
  • Ability to multitask and work independently in a fast-paced environment, and at times stressful environment.
  • Demonstrated problem-solving ability and attention to detail.
  • Commitment to safety, quality, and exceptional internal customer service.
  • Ability to create and implement sourcing strategies for recruitment for a variety of roles.
  • Proactive and independent with the ability to take initiative.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Clear Company or the ability to quickly learn applicant-tracking software.
  • Excellent organizational skills and attention to detail.
  • Excellent writing, communication, and presentation skills.
  • Proficiency in full Microsoft Office suite.
  • Full understanding of HR functions and best practices.
  • Effective HR administration and people management skills.
  • This position is based on a 45–55-hour workweek.
  • Must be able to work a flexible schedule, including evening and weekend hours, as needed.

Growth Projection

  • 1–2 years as an HR Coordinator: Build foundational HR experience by learning Kwest Group's culture, supporting employee relations, maintaining compliance documentation, and assisting with policy interpretation and day-to-day operations.
  • 2–3 years as an HR Specialist: Independently manage compliance projects, advise supervisors on policy and employee relations, represent Kwest at outreach events, and support training and performance management initiatives.
  • 1–2 years as an HR Generalist: Lead employee relations efforts, drive multi-state compliance strategy, mentor junior HR staff, and collaborate with leadership on initiatives that enhance culture, engagement, and retention.

Optional Paths:
Advance into roles such as HR Manager, Employee Relations Lead, Compliance Manager, or pivot toward Training & Development or Operations Leadership based on organizational needs and personal interests.

Working Conditions & Physical Demands

  • Frequently required to sit; talk or hear; and use hands to handle, or touch objects or controls.
  • Regularly required to stand and walk. On occasion the team member may be required to stoop, bend or reach above the shoulders.
  • Travel from site to site will be required.
  • Work environment will normally be an active construction site. Exposure to dust, noise, high heat, extreme cold, and rain should be expected.
  • Team member must be physically able to perform repetitive motion and heavy lifting, as described below.
  • Must be able to maintain effective audio and visual discrimination and perception to the degree necessary for the successful performance of assigned duties.
  • Must wear all employer-mandated personal protective equipment, including hard hat, safety glasses, ear plugs, safety vests, and safety-toed work boots. Other PPE may be required from time to time depending on special safety concerns. All PPE will be provided by the company at no cost to the employee, other than safety boots.
  • Must be able to hear with or without the use of a hearing device and clearly see at least 30 feet with or without the use of corrective vision lens. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • The team member must be able to differentiate and / or identify colors.
  • Must be able to work while wearing a respirator if necessary.
  • Alternate standing and walking on uneven terrain surfaces, such as hillsides, muddy and icy soils, and other working surfaces. Safe negotiation of all types of surface conditions will always be required.
  • Continual lifting of up to 50 lbs. for distances of 30 feet or more.
  • Constant pushing and pulling of certain tools and materials will be required over a day’s work.
  • Must have knowledge of occupational hazards in the construction field and standard safety practices. Must be able to pass the 30 Hour OSHA testing and First Aid/CPR requirements before starting work.
  • Must complete and meet requirements under the physical demands of this job description through a pre-employment physical examination.
