Hearing of America is currently seeking a Patient Care Coordinator for our hearing care clinic in Oakdale, MN to help the communities and people we serve to experience a better quality of life. In this role, you'll have the opportunity to make a significant contribution to our success of providing the best hearing loss treatment and/or tinnitus sound therapy.
RESPONSIBILITIES:
Phone Calls
- Make and receive all phone calls compassionately with a friendly, courteous, and positive voice
- Must be able to effectively manage incoming calls and obtain referrals
- Make outbound calls to patients for appointments, with effective effort to gain patient's next appointment
- Make and manage follow up calls and call backs, with ultimate goal of hearing loss treatment and patient satisfaction
Office Duties
- Manage front office of the clinic, keeping the area professional and clean
- Greet patients immediately upon their arrival and provide excellent customer service in a friendly and courteous manner
- Maintain patient records and schedule appointments using company scheduling protocols and internal scheduling database software
- Place orders, pack, and ship hearing aids, earmolds, accessories, etc.
- Process credit card and financing transactions
- Check patient's insurance policy on hearing aids with medical insurance
- File patient’s insurance claims (will coach)
- Make thank-you cards, holiday cards, and follow up letters, etc.
- Communicate with senior living communities about our activities and patients
Miscellaneous Duties
- Check and clean hearing aids, and minor hearing aid repair as needed (will train if no experience)
- Support clinic activities besides daily patient tasks, which include but are not limited to consumer seminars, expos, newsletters, battery club, etc.
- Take on any new tasks as directed.
REQUIREMENTS:
- Excellent phone skill handling inbound and outbound calls is essential, with emphasis on gaining and retaining patient appointments
- Excellent people and customer service skills, with an emphasis on patient satisfaction.
- A minimum of 1 year of previous front office experience in a medical setting, hearing aid office experience a plus.
- Must be dependable.
- Must be detail-oriented.
- Must be willing to take on new tasks.
- Must be able to work well independently.
- Must be very good at multi-tasking.
- Must be willing to learn and grow.
- Must be computer literate in all Microsoft Office programs (Word, Excel, Outlook, and some PowerPoint).
- Outstanding planning and organizational skills.
