Job: Medical Receptionist

In this role, you’ll support both our medical office and med spa by managing a variety of front desk responsibilities, including answering phones, scheduling appointments, processing payments, and delivering excellent customer service. You will serve as the face of the clinic, welcoming patients, visitors, and vendors, while ensuring smooth daily operations and an organized, efficient front desk experience.

Schedule : in clinic 4 days per week, Monday- Friday, Full-time, not to exceed 32-34 hours per week.

Responsibilities:

  • Scheduling new and established patient appointments and managing follow-up visits.

  • Efficiently managing the patient waitlist, follow-up appointments, and optimizing appointment availability.

  • Professionally answering and responding to all incoming communications within a timely manner, including phones, texts, and emails.

  • Processing patient check-ins, both in-office and virtual.

  • Executing comprehensive opening and closing office procedures.

  • Providing assistance with all billing processes and the collection of payments from patients.

  • Distributing super-bills to patients upon request.

  • Facilitating the transmission of lab orders for cash-pay laboratory services.

  • Assisting patients with the enrollment process for Cherry financing when support is required for visit fees.

  • Securing and maintaining up to date signatures and accurate consent forms, identification, and necessary regulatory paperwork.

  • Actively promoting and selling HRMN Health and Med Spa services and products.

  • Maintaining inventory of supplies and supplements.

  • Setting up and processing gift card transactions.

  • Delivering exceptional customer service, ensuring patients and the front office environment feels comfortable and adequately informed.

  • Maintaining and updating patient records, ensuring strict adherence to accuracy and confidentiality standards. Organizing and filing all paperwork, which includes scanning and digitizing documents as necessary.

  • Assisting with billing processes, including the collection of payments and reconciling cash collect at the end of each day, and reporting to the Office Administrator or owners as required.

  • Providing comprehensive administrative support to the medical staff, including faxing, filing, photocopying, and managing the inventory of office supplies.

  • Ensuring complete compliance with all relevant healthcare regulations, including strict adherence to HIPAA guidelines, to maintain patient confidentiality and data security.

Requirements:

  • High school diploma/GED required

  • healthcare administration certification or experience preferred.

  • Proficient computer skills.

  • Must demonstrate strong cash handling skills, including processing and counting currency accurately.

  • Strong communication, interpersonal, and customer service skills.

  • Excellent organizational skills; ability to multitask and prioritize effectively in a fast-paced environment.

  • Knowledge of medical terminology preferred.

  • Comfortable with technology, EHR, and digital communication.

  • Positive, team-oriented attitude and professional appearance.
