Job DescriptionDescription:

We are seeking a skilled and organized Administrative Assistant to support upper management, sales, and various office operations. This role ensures efficiency, accuracy, and professionalism by managing tasks,communication, and overall office organization.

Requirements:

Responsibilities:

Meeting & Scheduling Support:

  • Organize and schedule meetings, appointments, and training sessions.
  • Document meeting minutes, track tasks, and ensure timely follow-ups.

Reporting & Financial Administration:

  • Generate, manage, and follow up on required reports.
  • Complete and collect co-op funds to meet annual goals.

Compliance & Coordination:

  • Maintain compliance with DOT and IFTA requirements.
  • Assist in planning and executing company events.

Record-Keeping & Recruitment:

  • Maintain sales team records, including call reports, receipts, and incentive programs.
  • Post and maintain job openings on various platforms (company website, colleges, job boards).
  • Scout, recruit, and schedule interviews to ensure adequate departmental coverage.
  • Update employee department charts, job descriptions, and flowcharts.

Communication & Correspondence:

  • Regularly manage and update social media accounts with current products, events, and job openings.
  • Produce and distribute correspondence, memos, letters, forms, and flyers promptly.

General Office Duties:

  • Perform general administrative tasks including filing, typing, scanning, and copying.
  • Arrange travel for senior managers.
  • Provide support to visitors and customers as needed.
  • Answer and route phone calls, reply to emails and voicemails in a timely manner, and resolve

administrative issues.

Workflow & Confidentiality:

  • Manage multiple projects efficiently while maintaining high standards of quality.
  • Maintain organized computer and manual filing systems.
  • Handle sensitive information with the utmost confidentiality and professionalism.
