Job Summary



The Business Development Administrator supports PNW Warehousings growth initiatives by providing administrative, reporting, and coordination support to the Business Development and Sales teams. This role plays a key part in maintaining accurate client data, preparing proposals and rate sheets, coordinating customer communications, and supporting lead generation efforts. The position ensures internal processes run efficiently so revenue-driving team members can focus on building partnerships and expanding service opportunities.

Duties/Responsibilities

  • Prepare, format, and track proposals, RFQs, rate sheets, and client onboarding documentation for new and existing customers.
  • Maintain and update CRM records (Salesforce or equivalent), including opportunity tracking, notes, follow-ups, and pipeline reporting.
  • Coordinate client communication, meeting scheduling, and follow-ups for the Business Development team.
  • Assist in preparing customer presentations, pricing summaries, and service capability documents.
  • Conduct market research on potential customers, industries, and lanes aligned with PNW Warehousings service offerings.
  • Support preparation of marketing materials such as capability statements, service sheets, case studies, and client onboarding packets.
  • Track bid deadlines, contract renewals, and follow-up tasks to ensure timely responses.
  • Compile sales activity reports, KPI summaries, and pipeline updates for leadership review.
  • Assist with event coordination for trade shows, client visits, and networking opportunities.
  • Maintain organized digital records of proposals, contracts, and customer documentation.
  • Process expense reports and assist with administrative tasks for the Business Development team.
  • Collaborate cross-functionally with Operations, Customer Service, and Leadership teams to gather information for proposals and customer requests.
  • Performs other related duties as assigned.


Required Skills/Abilities

  • Strong written and verbal communication skills with professional client interaction abilities.
  • Excellent organizational skills with the ability to manage multiple deadlines simultaneously.
  • High attention to detail, especially when handling pricing, documentation, and client data.
  • Ability to prioritize tasks in a fast-paced logistics environment.
  • Strong problem-solving and analytical skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience working with CRM platforms such as Salesforce or similar systems.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Professional demeanor with strong customer-focused mindset.


Education and Experience

  • High school diploma or equivalent required.
  • Associates or bachelors degree in Business Administration, Marketing, Logistics, or related field preferred.
  • 13 years of experience in administrative support, sales support, logistics coordination, or business development support roles preferred.
  • Experience in logistics, transportation, or 3PL environment strongly preferred.


Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.

Work Hours: 9:00 AM - 1:00 PM Monday - Friday and overtime as needed There is the potential for this role to grow into full time.
