SUMMARY


The employee performs routine and specific administrative support duties, including reception, file management, and data entry.

ESSENTIAL DUTIES/RESPONSIBILITIES:


· Answer all incoming phone lines promptly and professionally, route calls to the appropriate division or personnel.

· Transfer emergency calls quickly and accurately to the appropriate emergency dispatcher or Communications Operator.

· Monitor and operate premises cameras and security systems per established procedures; report any anomalies to the supervisor.

· Greet visitors and constituents; verify purposes of visits, issue visitor badges, and direct to the appropriate office or staff member.

· Maintain accurate logs of inquiries, calls, deliveries, and visitor entries; ensure confidentiality of sensitive information.

· Accept and sort mail, deliveries, and packages; distribute to proper recipients or departments.

· Provide general information to the public regarding department services, hours, and procedures; refer complex inquiries to appropriate staff.

· Maintain orderly reception area and ensure signage, forms, and brochures are up to date.

· Assist with administrative tasks such as data entry, appointment scheduling, filing, and basic record-keeping and other official documents as directed.

· Respond calmly and effectively in high-stress or crisis situations; follow incident escalation protocols.

· Adhere to all department policies, procedures, and privacy regulations.

· Demonstrate professional appearance and demeanor consistent with law enforcement settings.

· Performs other duties as required.

· Assists citizens with requests for assistance concerning criminal offenses, civil processes, and other matters involving public safety.

· Prepares and submits reports as required.

· Supports outreach to the community by assisting with special request.

· Must be able to prioritize job duties and work independently with minimal supervision.

KNOWLEDGE, SKILLS AND ABILITIES

· Ability to respond in a courteous and professional manner with both internal and external customers.

· Ability to work independently with minimal supervision.

· Ability to express oneself clearly and concisely, both orally and in writing.

· Knowledge in the use of computers, Microsoft Office Suite, database entry and retrieval, and statistical analysis.

· Exemplary organizational skills and possess the ability to maintain sensitive information.

QUALIFICATIONS:

· High School degree or its equivalent.

· Good verbal and written English skills.

· Successful completion of a pre-employment drug screen and background check.

· Secretarial or office experience preferred.


PREFERRED QUALIFICATIONS:

· Previous experience in an office setting.

· Previous experience with local Government

· Experience with Microsoft Office products.


PHYSICAL DEMANDS AND WORKING ENVIRONMENT


On a continuous basis, sit at desk and/or stand at for long periods of time. Frequently required to see, hear and talk with the public; read presented documents, write or use keyboard to communicate through written means. On occasion required to climb or balance, stoop, kneel, crouch, taste, or smell. Intermittently twist and reach; lift or carry weight on occasion weight of up to 10 pounds. Specific vision requirements include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.


SUPERVISION RECEIVED


Assignments are described in detail and work is performed in accordance with departmental rules and regulations, reports to the Administrative Manager.
