Incarnation Catholic Preschool, part of the Catholic Diocese of Memphis, is a faith-filled community dedicated to nurturing the spiritual, academic, and emotional development of young children in a warm and supportive environment.


Position Summary:
We are seeking a dependable and organized Administrative Assistant to support our preschool’s daily operations. The ideal candidate is friendly, detail-oriented, and aligned with our Catholic values. This is a vital front-office role that ensures smooth communication between staff, families, and the school administration.


Key Responsibilities:

  • Greet families and visitors warmly and professionally
  • Answer phones, manage emails, and maintain school records
  • Assist with student check-in/out and attendance tracking
  • Support preschool staff with scheduling, communication, and documentation
  • Handle supply inventory and basic office management tasks
  • Uphold confidentiality and promote a welcoming, faith-based environment
  • Maintain school calendar, schedule Inservice.
  • Maintain class roster, daily sign in/out sheets.
  • Update class notebooks each year.
  • Be in compliance with Department of Human Services student and employee requirements.
  • Fill in for director in her absence.

Requirements:

  • High school diploma or equivalent required; associate’s degree preferred
  • Previous administrative or office experience
  • Proficient with Microsoft Office and basic office equipment
  • Excellent communication, organization, and interpersonal skills
  • Ability to multitask and prioritize in a busy environment
  • Proficient in EXCEL and familiar with the admissions process and FACTS software
  • To learn school proprietary software
  • Understanding of and commitment to the mission of Catholic education
