Job Title: Administrative Assistant
Schedule: 30 hours per week ( 9 AM - 3:30 PM, M-F)
Location: Irwindale, CA (In-office)

Position Summary
Social Impact Services is seeking a detail-oriented and dependable Administrative Assistant to support administrative, billing, and internal operations at our Irwindale, CA location. This role focuses on timecard management, billing support, internal record management, and coordination with the administrative team to ensure accurate documentation, accountability, and smooth internal processes. The ideal candidate is highly organized, professional, and comfortable handling confidential information in a compliance-driven environment.
Key Responsibilities
- Manage and monitor employee timecards for accuracy, completeness, and compliance with internal policies
- Respond to general inquiries and incoming phone calls routed from reception
- Support billing processes, including receipt tracking, expense documentation, and billing coordination and submission.
- Manage receipt collection and reconciliation for staff expenses
- Process and track staff reimbursements in accordance with company policies and timelines
- Manage and distribute bus passes and maintain transportation-related records
- Maintain accurate and organized internal administrative and financial records
- Coordinate with the administrative team to provide operational and administrative support as needed
- Assist with case note review, accountability, and documentation follow-up
- Support internal auditing processes and administrative compliance checks
- Assist with record reconciliations to ensure consistency across systems
- Support staff training related to administrative procedures, documentation standards, and internal controls
Qualifications
- High school diploma or equivalent required; associate degree preferred
- One to three years of administrative assistant, billing support, or office administration experience preferred
- Strong attention to detail, organizational skills, and follow-through
- Ability to manage multiple administrative processes and deadlines
- Professional verbal and written communication skills
- Proficiency with Google Workspace, email, and spreadsheet tools
- Ability to handle confidential and sensitive information with discretion
- Reliable attendance and ability to work independently and collaboratively
Preferred Qualifications
- Experience in an agency, healthcare, or professional services environment
- Familiarity with timekeeping systems, billing workflows, or reimbursement processes
- Experience supporting audits, compliance checks, or internal reviews
- Bilingual skills, if applicable
Compensation and Employment Details
- 30 hours per week (Monday through Friday, 9 AM-3:30 PM)
- Hourly, non-exempt position eligible for overtime in accordance with California law
- Compensation based on experience
- Meal and rest breaks are provided in accordance with California labor regulations
- Benefits eligibility based on hours worked and company policy (sick pay available to be used after 90 days of employment)
