Essential Duties & Responsibilities

The position works independently or as a member of a team at the direction of the government which is directly related to the business operation supporting the Foreign Service objectives.

The incumbent of this position will be responsible for performing the following functions:

  • Manage all the official document flow and tracking for a busy HR office of over 30 employees, loading documents into the unique Document Management System and executing corrections and clearances for action on information memos, Department Notices and ALDACS, official DG Direct responses, and other memoranda. The scope and impact of communications is Department wide, domestic and overseas.
  • Collaborate closely with Employee Benefits and Assistance (EBA) staff to set up and execute Department-wide events requiring close coordination with all Bureaus in the Department, close attention to logistics and details. These events have in the past included Take Your Child to Work Day which involves the Secretary of State and over 1000 young registrants and their parents; the Feds Feed Families summer food drive involving marketing, reporting and liaison with Department of Agriculture; and the Combined Federal Campaign.
  • Coordinate scheduling for individuals and the ER conference room, a busy office environment with many outside visitors.
  • Serve as Time and Attendance alternate, and as primary in the absence of primary.
  • Receive visitors, maintain a secure classified environment, order supplies.
  • Field calls and direct clients for all of ER, including the Employee Benefits and Assistance Division; Management Solutions Unit; and the Conduct, Suitability, and Discipline Divisions.
  • Work on a daily basis with the Chief of the Employee Benefits and Assistance Division and other ER leadership to work the task and document list priorities.
  • Maintain security awareness in a Classified Domestic suite.
  • Uses discretion and independent judgement in performance of duties in a sensitive and secure environment
  • Lactation: Assists the Lactation Manager running her program at the Department. Updates POCs lists and visits current lactation rooms, as required.
  • Supplies: Assists in ordering and maintaining office supplies. Works independently
  • Escorting: Is responsible for escorting anyone who does not have escort authority to the Domestic Classified suite of ER.
  • Greet visitors and clients, diffuse occasional stress and friction with excellent customer service, humor, and grace.

Required (Minimum Necessary) Qualifications

  • Education Requirements: High school diploma or equivalent
  • Level of Experience Requirements: N/A
  • Close attention to policy and procedure is critical; attention to editing is key.
  • Knowledge of the Department both domestic and overseas, familiarity with organizational structure, roles and responsibilities, and internal protocol are keys to successful execution of duties.
  • Active Secret Clearance

Additional Qualifying Factors

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations.
