Position: Administrative Coordinator
Salary: $32.60 per hour (non-exempt), annualized at $67,800.20 with employer-covered health benefits. 15 days of accrued vacation, 15 days of accrued sick leave, 14 holidays and daily, paid, hour lunch break.

Conard House specializes in Supportive Housing, Mental Health and Money Management services to 1,500 residents and clients across 10 residential buildings, 4 program sites and 22 shared apartments across San Francisco. Job Summary:
The Administrative Coordinator provides comprehensive administrative and human resources (HR) support for Conard House and serves as the primary point of contact for the administrative office and HR Department. This role is responsible for coordinating recruitment activities, maintaining accurate personnel records, and ensuring compliance with HR policies and regulations. The Administrative Coordinator manages confidential employee data, assists with interview scheduling, and supports a variety of HR initiatives that foster a positive and inclusive workplace. Success in this position requires strong organizational skills, attention to detail, and effective communication. Responsibilities:
- Serve as the primary point of contact and the welcoming face of the HR office.
- Answer and route incoming phone calls to the appropriate staff member.
- Provide support for employees and clients/residents in office or over the phone.
- Orders office supplies for administration offices, including office, kitchen, mail, and special requests.
- Oversee the daily receipt, sorting, and distribution of mail and deliveries in the administrative office.
- Manage visitor access using DoorBird, ensuring a professional and secure entry process.
- Maintain and organize personnel files in SharePoint and upload documents accurately to ADP.
- Support new hire onboarding (welcome packets, orientation scheduling, system setup).
- Ensure all personnel records are correctly named, filed, and compliant with organizational standards.
- Track trainings, certifications and annual performance discussions.
- Help ensure HR policies are communicated and accessible to staff.
- Monitor compliance with training requirements and maintain compliance posters a cross all Conard House sites.
- Oversees recruitment postings and monitors productivity metrics.
- Coordinate recruitment activities, including scheduling interviews and maintaining the interview calendar.
- Track interview progress and candidate status using online systems.
- Provide administrative support, including preparing and managing Excel spreadsheets.
- Handle benefit enrollment tracking, assist during open enrollment, and facilitate employee enrollment meetings.
- Uphold strict confidentiality and privacy standards in handling sensitive HR information.
- Reconcile IT distribution groups, Programs and Locations contacts and extensions monthly.
- Assist with general office tasks and special projects as assigned.
Qualifications:
- Minimum 2 years of working experience in an office environment.
- Human Resources and/or administrative experience preferred.
- Extensive computer skills, Microsoft Outlook 365, SharePoint and Excel required.
- Excellent written and verbal skills.
- Passion for our mission highly desirable.
- Ability to manage confidential information with discretion.
- Project coordination or program management experience a plus.
- Strong organizational and multitasking skills.
- High school diploma or equivalent required.
