Our busy, private allergy practice is seeking Front Desk personnel. As a Medical Front Desk your responsibilities typically involve a variety of administrative tasks. Here's a detailed job description:
Administrative Duties:
- Patient Scheduling: Schedule patient appointments, testing, and follow-up visits, ensuring efficient use of time slots and coordination with other staff members. You will also be responsible for responding to patient inquiries via phone and email and providing exceptional customer service to ensure a positive patient experience.
- Patient Registration: Greet patients, collecting and entering demographic and insurance information, and update electronic medical records (EMRs) accurately.
- Insurance Verification & Billing/Coding: Collecting, verifying insurance eligibility via supported website or phone, entering appropriate insurance information into EMR. Assist with billing processes, including coding procedures and services accurately to ensure proper reimbursement.
- Referral & Prior Authorization Management: Obtain referrals and/or authorizations for office visits and related testing/procedures and assist patients with insurance-related inquiries.
- Copay & Balance Collections: Collecting appropriate copays and balances from patients at the time of service via Point of Service Systems. Contacting patients with outstanding balances to collect payment. Ensuring proper cash balancing on a daily basis. Creating Estimate of Services based on scheduled visit and patient specific benefits.
- Medical Records Management: Maintain organized and up-to-date medical records, including filing, scanning, and retrieving documents as needed.
- Patient Contact & Communication: Utilize a multi-line phone system to answer a varying volume of incoming calls, take messages for all departments, and make appropriate outbound calls to schedule, confirm, and/or reschedule patient appointments. Facilitate communication between patients, physicians, and other healthcare providers, both in person and over the phone.
- Supply Management: Monitor inventory levels of office supplies, restock as needed, and coordinate supply orders with the leadership team.
- Additional Duties: Any additional tasks/duties as assigned to you by providers or management.
Qualifications:
- Education: High school diploma or equivalent.
- Experience: Prior experience in a medical office setting, especially in specialty or allergy clinics, is preferred.
- Skills: Excellent customer service, strong communication and interpersonal skills, attention to detail, ability to multitask, proficiency in EMR systems.
