FosterAll is a nonprofit organization dedicated to the recruitment and support of foster parents and families. Partnering with faith communities across Southern California, FosterAll operates Foster Care Programs for its faith partners, which includes information about the foster care system, recruitment of prospective foster parents, coordination of volunteer activities for foster youth and donation drives.

The Administrative Assistant provides support to the Director of the Foster Care Program Department in areas including but not limited to data entry, calendar management, scheduling, preparation for and reporting on meetings, events and projects, correspondence, document management, budgets, telecommunications and travel logistics.

Anticipated Time Commitment

1. 40 hours per week, weekend and evening work are required at times.

2. Participation in activities at faith communities when needed; weekly team meetings, regular attendance at monthly staff meetings and all scheduled special events within the organization.

Responsibilities

1. Assist with telephone and email inquiries from faith community partners when needed.

2. Schedule meetings for the Director of Foster Care Program when needed

3. Track and reconcile department expenditures and oversee budgets for recruitment events

4. Assist with preparation for special events

5. Oversee donation drives and track inventory

6. Maintain FosterAll’s database by updating information on faith community partners and

prospective foster families

7. Oversee social media ad campaigns

8. Draft, prepare and distribute correspondence to the Foster Care Program Department when

needed

9. Other duties as called upon by the Director of Foster Care Program Department

Knowledge, Skills, and Abilities

· Excellent verbal and written communication, interpersonal and relationship-building skills to effectively work with a variety of people and personalities

· Strong organizational skills and accuracy

· Attention to detail and ability to work on multiple projects/assignments

· Ability to take initiative, multitask, and work well under pressure

· High standard of ethics and confidentiality to handle sensitive information

· High level of proficiency in Microsoft Office programs (Word, Excel, PowerPoint)

· Bilingual in Spanish strongly preferred

· Ability to complete and pass a criminal background investigation

· Valid Driver’s License

Experience and Education Requirements

· Bachelor's Degree or equivalent combination of education and experience

· Experience working in or with faith communities as a staff member or volunteer required

· Experience with non-profit or ministry-based organizations

· Experience working in an administrative assistant position

Working Conditions

Travel is required, at times, throughout Southern California. Work involves occasionally lifting materials and products up to 20 pounds for presentations.
