Position Summary:
Reporting to the Accounting Manager of Subsidiaries, this position is responsible for reception, clerical, and administrative support. Provides routine bookkeeping functions. Processes receipt batches and scans remote deposits. Responds to W9 and 501(c)3 requests. Provides backup to the Accounting department for various functions. Assists with special projects and other related duties as assigned.
Role & Responsibilities:
Business Office Support:
Processes direct deposits and receipt batches.
- Scans remote deposits.
Bookkeeping Functions:
- Prepares daily deposits and receipt batches. Accepts and processes “Other Income” deposits and provides receipt(s).
- Review of Other Income Deposit transactions daily to ensure they are up to date and current
- Maintain and update batch log – all outstanding issues to be resolved within 7 days
- For corporate credit card receipts, follow up with individuals with missing receipts.
Receptionist Support:
- Answer phones and interact with administrators, staff, and visitors courteously and professionally.
- Answers or refers questions from phone calls and visitors to the appropriate staff member.
Clerical/Administrative Support:
- Provide administrative support to the Accounting Department
- Handle clerical duties for the Virginia Tech Foundation, including, but not limited to, sorting mail, processing and distributing checks, service requests for office machinery, and ordering office supplies, check stock, and stationery.
- Responsible for scheduling various meetings.
- Responds to W9 and 501(c)3 requests.
- Maintains and updates procedure manuals.
Other Duties:
- Assist with other special projects as necessary and other duties as assigned.
Qualifications:
- Extensive experience in an office environment.
- Solid understanding of basic bookkeeping and accounting payable/receivable principles.
- Experience handling cash and preparing deposits. Hands-on experience with spreadsheets and proprietary software, such as Banner, preferred.
- Proficiency in Microsoft Office.
- Customer service orientation skills.
- High degree of accuracy and attention to detail.
- Well organized and able to communicate pleasantly and professionally.
- General understanding of AI uses in Microsoft Office products preferred.
