Position Summary:
Riva Mental Health is seeking a compassionate and organized Administrative Assistant to support our mental health providers and ensure the smooth day-to-day operations of our clinic. The role is currently part time (20 to 30 hours per week) and expected to become full time over the next 3 to 6 months. This individual will play a critical role in coordinating care, supporting clinical staff, and providing administrative services that directly impact the quality of client care.
The ideal candidate is detail-oriented and thrives in a client-focused environment.
Key Responsibilities:
- Serve as the primary administrative support for the Clinic Manager
- Answer inbound phone calls, make outbound calls, and respond to inquiries for potential clients seeking therapy
- Schedule and manage intake appointments
- Assist with marketing outreach and events
- Coordinate client communication and follow-ups
- Greet clients, check them in, and assist with intake paperwork
- Assist with billing processes, invoicing, and payment collection
- Support the planning and coordination of clinical team meetings and trainings
- Assist in compliance with HIPAA and clinic policies regarding confidentiality and documentation
Required Qualifications:
- High school diploma or equivalent required; associate degree or coursework in healthcare administration or psychology preferred
- Strong interpersonal and communication skills
- Proficiency in Microsoft Office or Google Suite
- High level of discretion, empathy, and professionalism
- Ability to manage multiple priorities in a fast-paced, client-facing environment
Work Environment:
- Primarily on-site at Riva Mental Health in Redwood City, CA
- Standard business hours
- Comfortable working in a confidential, emotionally sensitive clinical setting
