Position Summary:


Riva Mental Health is seeking a compassionate and organized Administrative Assistant to support our mental health providers and ensure the smooth day-to-day operations of our clinic. The role is currently part time (20 to 30 hours per week) and expected to become full time over the next 3 to 6 months. This individual will play a critical role in coordinating care, supporting clinical staff, and providing administrative services that directly impact the quality of client care.

The ideal candidate is detail-oriented and thrives in a client-focused environment.


Key Responsibilities:


  • Serve as the primary administrative support for the Clinic Manager
  • Answer inbound phone calls, make outbound calls, and respond to inquiries for potential clients seeking therapy
  • Schedule and manage intake appointments
  • Assist with marketing outreach and events
  • Coordinate client communication and follow-ups
  • Greet clients, check them in, and assist with intake paperwork
  • Assist with billing processes, invoicing, and payment collection
  • Support the planning and coordination of clinical team meetings and trainings
  • Assist in compliance with HIPAA and clinic policies regarding confidentiality and documentation


Required Qualifications:


  • High school diploma or equivalent required; associate degree or coursework in healthcare administration or psychology preferred
  • Strong interpersonal and communication skills
  • Proficiency in Microsoft Office or Google Suite
  • High level of discretion, empathy, and professionalism
  • Ability to manage multiple priorities in a fast-paced, client-facing environment


Work Environment:


  • Primarily on-site at Riva Mental Health in Redwood City, CA
  • Standard business hours
  • Comfortable working in a confidential, emotionally sensitive clinical setting

Compensation and Benefits:
