Ellis Real Estate Services – Kansas City, MO (Multi-Market Portfolio)
Ellis Real Estate Services is seeking an experienced and detail-oriented Bookkeeper to support
our growing, multi-market property management operations. This role is critical to maintaining
clean financial records, accurate tenant billing, and strong cash flow across multiple portfolios.
The ideal candidate is comfortable owning accounting processes end-to-end, understands how
receivables and utilities impact financial performance, and enjoys working in a fast-paced,
operationally complex environment.
Position Overview
The Bookkeeper is responsible for day-to-day accounting functions with a primary focus on
accounts receivable, utility management, reconciliations, and financial accuracy. While
most payables are handled by a separate role, this position partners closely with accounting
leadership to ensure clean books and scalable systems as Ellis continues to expand across
multiple markets.
Key Responsibilities
Core Bookkeeping & Accounting
- Maintain accurate and timely financial records across multiple property portfolios
- Reconcile bank accounts, trust accounts, and general ledger activity
- Assist with month-end close, reporting, and variance review
- Perform regular data audits to ensure financial accuracy and compliance
Accounts Receivable & Tenant Billing
- Oversee tenant receivables and ensure consistent, accurate billing
- Bill tenants monthly for utilities, grounds, and other pass-through expenses
- Review delinquency reports and support payment plan setup and monitoring
- Investigate and resolve billing discrepancies with tenants and internal teams
Utilities & Cost Recovery
- Manage utility setup, transfers, reverts, and account changes for properties
- Coordinate with utility providers and vendors to resolve billing issues
- Track utility expenses and ensure proper allocation and tenant reimbursement
- Maintain accurate utility contact information and billing workflows
Multi-Market Portfolio Support
- Serve as bookkeeping support for a growing, multi-market portfolio
- Ensure consistency in accounting practices across all markets
- Assist in onboarding new properties into Ellis accounting systems
- Support process standardization as the company expands into new markets
Accounting Support & Collaboration
- Enter select non-maintenance invoices as needed (payables primarily handled elsewhere)
- Verify insurance and utility billing through AppFolio and third-party tools (e.g., Beagle)
- Partner with leadership and operations to improve accounting workflows
- Support audits, reporting requests, and special projects as needed
Qualifications
- 3+ years of bookkeeping or accounting experience (property management preferred)
- Strong understanding of accounts receivable, reconciliations, and general ledger
- Experience billing utilities and managing cost recoveries a plus
- Proficiency in Google Workspace (Sheets, Docs, Gmail)
- Experience with AppFolio or similar property management accounting software strongly preferred
- Highly organized, detail-oriented, and process-driven
- Strong communication skills and comfort working cross-functionally
