Position SummaryWe are seeking an organized and detail-oriented Administrative Assistant to support the daily operations of our moving and storage company. The ideal candidate will handle customer inquiries, schedule moving services, maintain records, coordinate with moving crews, and provide general administrative support to ensure efficient business operations. Key Responsibilities

  • Answer incoming phone calls, emails, and customer inquiries professionally.
  • Schedule moving appointments, estimates, deliveries, and storage services.
  • Prepare and maintain customer files, contracts, invoices, and moving documentation.
  • Coordinate schedules between customers, drivers, movers, and warehouse personnel.
  • Process payments and assist with billing and collections.
  • Maintain accurate records of inventory, storage units, and customer accounts.
  • Enter and update data in company software systems.
  • Assist with payroll documentation, employee files, and timekeeping records.
  • Monitor office supplies and place orders as needed.
  • Support management with reports, correspondence, and special projects.
  • Resolve customer concerns and escalate issues when necessary.
  • Ensure compliance with company policies and industry regulations.

Qualifications

  • High school diploma or GED required; associate degree preferred.
  • 1–3 years of administrative, office, customer service, or dispatch experience.
  • Experience in the moving, transportation, logistics, or storage industry is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-paced environment and manage changing priorities.
  • Strong attention to detail and problem-solving skills.

Preferred Skills

  • Scheduling and dispatching experience.
  • Knowledge of billing and invoicing procedures.
  • Customer service and conflict resolution skills.
  • Experience using CRM, dispatch, or logistics management software.
  • Basic bookkeeping or payroll support experience.

Physical Requirements

  • Ability to sit, stand, and work at a computer for extended periods.
  • Occasional lifting of office supplies and files up to 20 pounds.
