We’re expanding our team and looking for an enthusiastic Appointment Coordinator to play a key role in our success. This isn’t just administrative work—it’s the behind-the-scenes magic that creates meaningful experiences for our clients and supports our advisors in serving families better.

What You’ll Love About This Role:

  • Varied & Impactful Days — No two days are the same! Collaborate directly with TJ to plan and execute a full calendar of educational seminars, client events (think birthday lunches, summer outings, fall gatherings), and annual reviews.
  • Client-Facing & Relationship Building — Greet attendees, check them in, screen past participants for personalized follow-up, set high-value appointments, and ensure every interaction feels warm and professional.
  • Event Coordination Magic — Schedule seminars with top restaurants, set up rooms to perfection, handle confirmations, and track everything so events run flawlessly.

Key Responsibilities You’ll Own:

  • Build and maintain our yearly seminar and client event calendar
  • Coordinate seminar logistics—book venues/restaurants, handle updates, set up rooms, greet/check-in attendees
  • Screen attendees and clients for prior participation; pull surveys/notes for advisors to personalize follow-ups
  • Schedule and confirm appointments (including policy deliveries, annual reviews, and chasers)
  • Manage calendars, send confirmation emails, track in sheets/reports, and handle newsletter opt-ins
  • Prepare for annual reviews (update histories, prep spreadsheets), send reminders, and organize policy delivery books
  • Email yearly/monthly class calendars and reminders to clients
  • Plan and schedule client appreciation events throughout the year

Who We’re Looking For:

  • Super organized with strong attention to detail and multitasking skills
  • Warm, friendly communicator who enjoys interacting with people (clients, restaurant staff, team)
  • Proactive problem-solver who takes initiative and follows through
  • Experience in administrative coordination, event planning, customer service, or scheduling (financial services a plus, but not required—we’ll train the right person!)
  • Comfortable with calendars, emails, spreadsheets, and basic CRM tools
  • Passionate about helping families and contributing to a values-driven team
  • Reliable, positive attitude, and excited about Utah’s community-focused lifestyle
