Position Overview

The Client Intake Specialist is the first voice our potential clients hear. In this role, you will guide potential new clients (PNCs) through a stressful and often confusing time — helping them understand their options, gain clarity, and determine next steps (which often includes hiring Reynolds Defense Firm).

This role blends relationship-building, ethical sales, attention to detail, and professionalism. You are responsible for delivering a high-quality, consistent intake experience that reflects our values and sets the tone for the entire client journey.

Key Responsibilities

  • Conduct intake calls using firm guidelines, scripts, and procedures
  • Build authentic human connections with PNCs while gathering and documenting key information
  • Clearly explain our services, fees, and hiring process
  • Maintain compliance with Oregon bar ethics rules, including avoiding the unauthorized practice of law
  • Compassionately refer out individuals who do not meet intake criteria
  • Schedule consultations and manage calendars accurately
  • Maintain detailed, organized notes in customer relationship management software (CRM) before, during, and after PNC contact
  • Follow up with PNCs according to firm guidelines
  • Facilitate seamless hand-offs to legal and finance teams
  • Assist with administrative/support tasks for sales and marketing
  • Provide primary phone coverage during assigned shifts (including weekends, if scheduled)
  • Contribute to a respectful, team-first culture

Required Qualifications

  • High school diploma
  • Minimum 3 years of customer service or sales experience
  • Fluency in Spanish
  • Strong written and verbal communication skills
  • High emotional intelligence and the ability to communicate confidently and compassionately
  • Strong organizational skills and attention to detail
  • Commitment to confidentiality and ethical standards
  • Proficiency with Microsoft Office and ability to learn new systems quickly

Preferred Qualifications

  • Experience with CRM software
  • Legal industry experience
  • Familiarity with Oregon DUII or traffic law
  • Lived experience navigating a DUI situation

(Training on Oregon DUII law, court systems, and procedures is provided)
