Job Title: Lead Surgery Coordinator
Department: Procedure Operations
Reports to: Office Manager
Job Summary:
Procura Pain and Spine is looking for a dedicated and detail-oriented Lead Surgery Coordinator to join our dynamic team. This pivotal role involves managing and facilitating pain management procedure cases across six providers. The Lead Surgery Coordinator will focus on optimizing surgical scheduling, ensuring efficient patient information management, and maintaining compliance with regulations and insurance authorizations.
Essential Duties and Responsibilities:

Scheduling and Coordination:
- Oversee the scheduling of pain management procedures and surgeries in partnership with six providers, patients, and surgical facilities.
- Manage surgical calendars for multiple providers to maximize clinic and operating room efficiency through the addition or cancellation of surgical days.
- Confirm and communicate surgical dates and times with patients and clinical staff via EMR and telephone.

Patient Interaction:
- Serve as the primary point of contact for patients concerning surgical procedures, pre-operative instructions, insurance verification, and follow-up care.
- Provide education to patients about scheduled procedures, addressing any questions or concerns they may have effectively.

Pre-operative and Post-operative Responsibilities:
- Collect, review, and organize all necessary patient documentation and medical history before surgery and send these documents to relevant sites or personnel.
- Ensure that all pre-operative tests and approvals are completed and accurately documented in the EMR.
- Confirm that all cases in the EMR are complete and appropriately marked according to requested items.

Documentation and Compliance:
- Maintain accurate and current patient records in compliance with HIPAA and other regulatory standards. Document all interactions with patients, insurance, vendors, and representatives in the EMR.
- Ensure all necessary consents and authorizations are obtained and documented before procedures.
- Prepare and submit required documentation for insurance pre-authorization and verification.

Administrative Support:
- Assist with data entry, appointment scheduling, and general administrative duties related to the surgical department.
- Support the Practice Administrator with additional administrative tasks, including scheduling blocks and monitoring case load capacities.

Continuous Improvement:
- Collaborate with clinical staff to enhance surgical scheduling efficiency and improve patient flow.
- Participate in ongoing training and continuing education programs to remain current with pain management practices and regulatory compliance.
Minimum Requirements:
- Education: High school diploma or equivalent; Associate's degree or higher preferred.
- Experience: Minimum of 2 years in a surgical coordination role, with a preference for pain management or orthopedic settings.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in electronic health record (EHR) systems and Microsoft Office Suite.
- Knowledge of medical terminology and insurance verification processes.
Working Environment / Location of Position / Abilities Required:
- EMR Platform: eClinicalWorks
- Must be able to use a computer and answer telephones.
- Typing speed of a minimum of 45 words per minute.
- This position primarily operates in an office environment within a clinical setting, with occasional visits to surgical facilities and collaboration with healthcare professionals.
Working Conditions:
- Work is performed in an office environment, involving frequent public contact.
- The role may encounter stressful situations, including interactions with upset individuals.
Physical/Mental Demands:
- Requires hand dexterity for operating office machines, with the ability to stoop and bend to access files and supplies.
- Mobility is needed to complete errands or sit for extended periods.
- Visual and auditory acuity is essential for effective communication with co-workers and patients.
- Must be able to lift up to 25 lbs.
