We are seeking a detail-oriented and dependable Medical Records Clerk to join our team. In this role, you will be responsible for gathering, processing, and managing patient medical records while ensuring full compliance with HIPAA regulations and organizational policies. This position plays a vital role in protecting patient privacy, supporting clinical workflows, and maintaining the integrity of our health information systems.

Key Responsibilities:

  • Collect and verify patient demographics and information following established identification protocols.

  • Safeguard the confidentiality of medical records in accordance with HIPAA, legal, and ethical standards.

  • Release medical information to authorized individuals or agencies per HFBG policies and federal regulations.

  • Scan, index, and file medical records using IndxLogic and other systems following clinical guidelines.

  • Identify and correct errors in filed records; locate misplaced or misfiled documents.

  • Respond to medical record requests and legal subpoenas promptly and accurately.

  • Assist patients in understanding and navigating the release of their medical information.

  • Process incoming and outgoing departmental mail and faxes; distribute to appropriate staff.

  • Provide administrative support, including answering phones, responding to emails, and assisting clinical departments.

  • Maintain accurate, organized, and up-to-date patient charts.

Qualifications:

  • High school diploma or GED required.

  • Minimum of one (1) year experience in a healthcare or medical office setting.

  • Experience with medical records systems and familiarity with medical terminology preferred.

  • Strong attention to detail, organizational skills, and a commitment to confidentiality and compliance.

  • Ability to work independently and as part of a collaborative team.
